PROJECT AND EVENTS MANAGER

The Schmidt Family Foundation (TSFF) works to restore a balanced relationship between

people and planet through two methods: grantmaking and impact investing. Our ecosystem of

entities, which includes the 11th Hour Project, the Impact Investing program, and Schmidt

Marine Technology Partners, supports organizations on the frontlines of environmental justice,

in communities working to advance clean energy, strengthen regenerative food systems and

restore ocean health. We combine an interdisciplinary approach with a healthy appetite for

discovery and exploration to make purposeful, measurable progress toward a sustainable

future.


ABOUT THE POSITION

TSFF is seeking an exceptional candidate to coordinate the planning and execution of all

Foundation-led events, including our flagship convening, Connect, which brings together over

350 of our valued partners. The candidate will work closely with teams across TSFF programs,

operations, communications and executive and principal offices to produce outstanding

experiences for grantees and staff alike. The ideal candidate will thoughtfully and confidently

plan, organize and execute a wide variety of events of varied scale, including grantee site visits

and internal team events, in support of the Foundation's programmatic work. The candidate will

synergize teams and bring a cohesive element to each project.


The Project and Events Manager must have an excellent work ethic, be highly skilled at

setting priorities, taking initiative and tracking all the details. The successful candidate will be

collaborative and relationship-oriented, organized, decisive and exercise a high degree of

emotional intelligence. This position is based in the San Francisco Bay Area and includes

occasional travel to event sites.


Essential Duties and Responsibilities
  • Coordinate the planning and execution of Connect, the Foundation’s grantee convening, with 350+ partners
  • Act as the central point of contact to coordinate internal teams, key partners and vendors for the flawless execution of program, grantee and Foundation-wide projects and events throughout the year
  • Create long- and short-term project plans, including setting targets for milestones and adhering to deadlines and budgets
  • Adjust schedules and targets as project needs or budgets shift
  • Keep all teams on the same page by sharing agendas and schedules and providing regular updates at staff meetings
  • Find creative resolutions and make effective decisions when presented with multiple options for how to progress with a project
  • Perform quality control on projects throughout development to maintain the Foundation’s environmental and sustainability standards
  • Create and disseminate surveys following events to solicit feedback from internal and external stakeholders


Skills and Experience
  • 5-7 years of event planning and management experience
  • Proven ability to work both independently and as part of a highly collaborative team
  • Track record of finding and implementing creative solutions to complex problems
  • Experience with project and event management software tools, methodologies, and best practices
  • Strong interpersonal and analytical skills
  • Able to demonstrate a commitment to the issue areas of the Foundation
  • Proven ability to complete projects according to outlined scope, budget, and timeline
  • Ability to stay calm and collected when things do not go according to plan
  • Direct, respectful, and empathetic communication style
  • Ability to understand organizational structure and work through administrative systems with a keen attention to detail
  • Propensity to be agile, flexible and solutions-oriented, especially under pressure
  • Demonstrated ability to work on a wide range of projects, juggle and prioritize tasks and inquiries, manage time effectively and meet deadlines
  • Fluency in MS Office and Google Docs

  • Must be able to use a computer and communicate by video call or telephone for extended periods of time.


$120,000 - $130,000 a year

This is an exempt position reporting to the Senior Project Manager in the Executive Director’s Office. The salary range for this position is complimented with an excellent benefits package. The position is based in the San Francisco Bay Area with a hybrid in-office/remote model. The ideal candidate will be already located in the Bay Area or willing to relocate.
