Executive Assistant (Home Building/ Construction Experience Preferred)

Position Summary:


We are looking for an organized, proactive, and resourceful Executive Assistant with ideally a background in the home building or construction industry to support our executive team. This role will provide high-level administrative support, manage complex schedules, coordinate meetings, and facilitate communication across departments. The ideal candidate will be detail-oriented, able to anticipate the needs of the executives, and bring valuable insights from the construction sector to streamline operations.


  • Administrative Support:
  • Provide comprehensive administrative assistance to the executive team, including managing calendars, scheduling meetings, and organizing travel arrangements.
  • Prepare, edit, and review documents, presentations, and reports, ensuring accuracy and adherence to brand standards.
  • Draft correspondence, emails, and communications on behalf of executives.
  • Project Coordination:
  • Support project management efforts, ensuring the timely delivery of documents, proposals, and updates.
  • Track and follow up on action items from meetings, keeping projects on schedule and ensuring timely completion of tasks.
  • Serve as a liaison between executives and other departments, coordinating information flow, priorities, and communications.
  • Meeting Management:
  • Plan, schedule, and coordinate internal and external meetings, including agenda preparation, materials organization, and recording meeting minutes.
  • Organize executive team off-sites, retreats, and events as needed.
  • Coordinate with vendors, suppliers, and contractors to ensure timely and effective support for meetings and events.
  • Industry-Specific Support:
  • Leverage industry knowledge to assist with project documentation, contract tracking, and construction-related compliance requirements.
  • Conduct research on construction industry trends, suppliers, and vendors to support executive decision-making.
  • Ensure executives are informed of relevant industry changes, competitors, and market updates that may impact the business.
  • Process Improvement and Organization:
  • Proactively identify and implement efficiencies to improve administrative processes and executive workflows.
  • Maintain confidential files, manage databases, and organize office resources to ensure easy access and retrieval of information.
  • Assist in managing budgets, expenses, and invoices related to executive team needs and office operations.
