We are looking for a resourceful, proactive, and detail-oriented Executive Assistant to support the Senior Vice President (SVP) of our Operations Team. In addition to a variety of administrative tasks such as complex calendar management and travel planning, you will be responsible for anticipating the needs of the SVP and their team, strategically planning ahead, acting on your plans, and adjusting as necessary – oftentimes before being asked to do so.
Reporting to the lead Executive Assistant on the Technology Team, you will partner with the SVP and their team, collaborate closely with the Affirm Leadership Support Team, and be a valuable team specialist and individual contributor.
What You’ll Do
Support the SVP of Operations: handle all administrative needs (including, but not limited to those listed below), act as a strategic partner, anticipate needs, proactively and independently problem-solve, and take on tasks to ensure that the SVP is utilizing their time in the most efficient way possible
Complex calendar management: gain a deep understanding of company and SVP priorities in order to align the calendar, schedule meetings (often across multiple time zones), adjust for scheduling conflicts, and keep a several-months-out view of meetings and events to come
Travel coordination: book flights, ground transportation, and hotel accommodations for both domestic and international trips, occasionally with minimal notice
Meeting preparation: create calendar events including links to all pre-read materials, Zoom details, and appropriate attendee list, draft agenda outlines and/or slide deck templates for circulation, communicate with meeting attendees and ensure agendas/slide decks are populated ahead of meetings, send pre-read and post-meeting materials to all attendees and appropriate stakeholders
Meeting attendance: gain context on team projects and priorities, manage Zoom, note action items and the individual(s) responsible for delivering, follow up with meeting attendees to track progress toward action items, and solicit feedback on large-scale meetings such as the Operations All Hands to inform future meetings
Event coordination: plan and execute in-person meetings and team building events from start to finish, track and manage to the available budget, act as the point of contact for all event-related communications to the SVP, their team, your Finance Partner, and the vendors you engage, and solicit feedback from attendees post-event to inform future events
Partner with the Leadership Support Team to coordinate needs across the wider Affirm team
What We Look For
5-8 years of relevant experience in an Executive Assistant role
Ability to work independently as well as across various teams
Experience at a rapidly growing company, with the ability to navigate and thrive in a fast-paced, dynamic environment
Working knowledge of Google Suite, Slack, Zoom; familiarity with Navan a plus
Strong work ethic, professionalism, confidentiality, and good judgment
Ability to deal with conflict as well as give and receive feedback diplomatically
Highly organized and resourceful, able to juggle and multi-task, with acute attention to detail and follow through
Pay Grade - J
Equity Grade - 5
Employees new to Affirm typically come in at the start of the pay range. Affirm focuses on providing a simple and transparent pay structure which is based on a variety of factors, including location, experience and job-related skills.
Base pay is part of a total compensation package that may include equity rewards, monthly stipends for health, wellness and tech spending, and benefits (including 100% subsidized medical coverage, dental and vision for you and your dependents.)
USA base pay range (CA, WA, NY, NJ, CT) per year: $130,000 - $170,000
USA base pay range (all other U.S. states) per year: $115,000 - $155,000
