The EA to the CFO & SF Office Lead will report directly to the Chief Financial Officer (CFO) while overseeing the San Francisco office operations and provide high-level administrative support to the department heads, reporting to the CFO. This role is essential in ensuring seamless daily office operations, coordinating the CFO’s schedule with other executive team members' schedules and driving organizational excellence. The ideal candidate will have strong organizational and administrative skills, is a proactive thinker, and has excellent communication and interpersonal skills.

Key Responsibilities:
Executive and Finance Team Support (60%)
Provide comprehensive support to the CFO
Manage complex calendars, coordinate high-level meetings, and handle sensitive communications
Assist with the preparation (formatting and proofing) of executive presentations and reports
Coordinate CFO travel arrangements
Assist with expense management
Provide support related to monthly and weekly team meetings, including rolling forward of agendas, note-taking, and management of action items in the Company’s project management system.
Assist the legal and finance team with SEC filing administration in Workiva, including process management, file organization, proof-reading and administration.
Office Operations (30%)
Oversee daily office operations and manage vendor relationships
Coordinate facility maintenance, space planning, and office improvements
Liase with CFO on the facilities budget and expenses
Ensure smooth operation of office services including catering, security, and maintenance
Strategic Project Management (10%)
Lead special projects and initiatives as assigned by the CFO
Optimize operational processes and systems
Collaborate with the San Diego EA and HR to organize company-wide planning logistics for team offsites
Required Qualifications:
8+ years of combined experience in executive support and office management
Proven track record of supporting C-level executives
Strong project management and problem-solving abilities
Advanced proficiency in Microsoft Office Suite (including PowerPoint) and strong technological intuition.
Bachelor's degree in business administration or related field
Exceptional communication and interpersonal skills
Experience managing vendor relationships and contracts
Ability to maintain strict confidentiality and exercise discretion
