Job Title: Scheduling Associate
Location: This can be a fully remote role for someone with court reporting industry experience
Neal R. Gross & Co. (NRGCO), a leader in court reporting and transcription services, is seeking a highly organized and client-focused Scheduling Associate to join our team. This role is critical in coordinating legal proceedings and meetings while ensuring exceptional client service.

Key Responsibilities
- Respond to client requests via email and phone, ensuring timely and professional communication.
- Maintain accurate scheduling records in proprietary software, ensuring complete and consistent data entry.
- Confirm and cancel assignments for the next business day with clients and assigned resources.
- Coordinate and schedule legal proceedings and meetings, assigning court reporters, videographers, interpreters, and other resources to match client needs.
- Resolve scheduling issues, escalating complex matters to management as needed.
- Build and maintain strong professional relationships with clients, subcontractors, and team.
- Book conference rooms and travel arrangements, including airfare, hotels, and car rentals, nationwide members.
- Work closely with court reporting team to ensure clients needs are not only met but exceeded.
Qualifications
- 1-3+ years of work experience. New grads are welcome to apply!
- Excellent oral and written communication skills, with a professional and calm demeanor under pressure.
- Exceptional organizational and time-management skills with a keen attention to detail.
- Ability to work independently, collaboratively, and in a fast-paced, multi-tasking environment.
- Flexibility to work after hours as needed and maintain an exceptional attendance record.
- Demonstrated ability to maintain confidentiality of sensitive information.
- Proven experience in administrative roles, ideally in a legal or court reporting environment.
- Strong proficiency with database management systems and office software; intermediate to advanced computer skills are required.
- Experience in the legal industry (paralegal, legal secretary, or court reporting) is strongly preferred.
- Preferred - Bachelor’s degree in Business Administration, Public Relations, Law or a related field, a degree or certificate as a Paralegal/Legal Assistance, or equivalent work experience.
