We are seeking a dedicated, experienced and highly organized Administration Assistant / Office Manager to play a vital role in maintaining the efficiency of our office operations. In this role, you will collaborate closely with all departments and teams to meet strict deadlines, provide essential support for ongoing tasks, and help foster a positive and engaging workplace atmosphere.

Additionally, you will support and report directly to the leadership team, contributing to the smooth functioning of the organization as a whole.

The ideal candidate should be a stickler for detail, proactive, organized and skilled in general administration.

Responsibilities

While having experience in these areas will be a plus, don’t worry if you don’t excel in all. We’re committed to providing thorough training and giving you the time you need to familiarize yourself with all aspects of the role. Your enthusiasm and willingness to learn are what matter most to us.

  • Financial and Invoice Administration: Income & expense tracking, collecting & issuing invoices, monitoring office expenses, and ensuring timely payment of all bills and salaries in collaboration with our accounting partner. 
  • Employee Records and Agreements: Manage employee agreements, keeping them accurate and up-to-date with necessary signatures and details. Track annual and sick leave records, ensuring proper communication with our accounting partner.
  • Office Operations: Manage day-to-day office tasks, such as arranging cleaning services, replenishing supplies, purchasing equipment like laptops, and ensuring the office is clean, organized, and welcoming.
  • HR and Onboarding Support: Oversee hiring-related admin tasks using our hiring software, coordinate interview schedules, and prepare onboarding essentials for new employees to ensure a smooth start.
  • Employee Experience and Branding: Plan and organize team events and gatherings to foster a positive and engaging work culture, proactively contributing to employee branding and morale.
  • Communication Management: Answer general incoming calls, manage generic email accounts, and direct inquiries to the appropriate team members or departments.
  • Leadership and Administrative Assistance: Provide direct support to the leadership team with administrative and operational tasks to ensure smooth workflows.

What We’re Looking For

We are looking for individuals with strong character, the ability to thrive under pressure, and a thirst for learning in a fast-paced environment. Punctuality, multitasking, resourcefulness, extreme attention to detail, ownership, and excellent communication skills are essential. Equally important are soft skills like empathy, proactiveness, and a positive attitude.

  • Experience: 2+ years in an administrative/office management or executive assistant role, ideally within a fast-growing company.
  • Basic Financial Tasks: Familiarity with basic financial principles to handle straightforward tasks such as processing invoices, tracking payments, and collaborating with our accounting partner (no advanced accounting knowledge required).
  • Communication Skills: Excellent verbal and written communication skills in both English and Greek.
  • Organizational Excellence: Highly organized, with strong attention to detail and the ability to manage multiple tasks effectively.
  • Teamwork and Customer Service: Strong interpersonal skills, with a customer-focused mindset and the ability to collaborate within a team.
  • Adaptability: A growth mindset, resilience under pressure, and a proactive attitude in a demanding environment.
  • Attractive compensation package of 1,100€ NET/month x 14 plus 150€ monthly expense allowance
