Job Title: Reviewer Operations Associate

Location: Remote

Reports To: COO

Work Shift: US - Pacific time zone

Working Hours: Flexible, but training and meeting times will be mostly within 7:00 to 18:00 (US PS/DT)

Job Description:

We are seeking a highly organized and proactive Reviewer Operations Associate to manage relationships between physician-reviewers and contract research organizations. Responsibilities include recruiting reviewers, and coordinating, documenting, and managing reviewer and CRO (laboratory) relationships.This role requires basic medical knowledge in order to match the competencies of remote image-reviewer multispecialty physicians with the needs of clinical trials, and familiarity with relational databases in order to integrate and maintain the information in our organization’s information system.

The ideal candidate will possess the basic medical knowledge, database experience, excellent oral, written and presentation skills, meticulous attention to detail, experience with remote work, and the ability to independently manage multiple priorities in a fast-paced environment. Knowledge of basic financial practices, social media savvy, and marketing experience are pluses.

Key Responsibilities:

  • Compile and assess (soliciting and researching as necessary) documentary information about prospective physician contractors, clients, sponsors, and clinical trials, ensuring that all required documentation is effectively collected.
  • Store all contractor, client, and trial information and supporting files appropriately in our online storage system and database.
  • Support decision-making by analyzing physician contractor qualifications and nominating them (internally, and to clients) to appropriate clinical trials. Collaborate with client clinical research teams to facilitate the matching of physician contractors with trials, ensuring alignment between the contractors’ expertise and client needs.
  • Coordinate and manage new client, reviewer, and trial onboarding processes, and manage new and existing physician contractors, clients, and trials, ensuring that all necessary documentation is up-to-date and accurate.
  • Maintain communication with physicians regarding their involvement in clinical trials and provide support throughout the process.
  • Collaborate with various internal departments with reference to contractors, clients, and trials.
  • Maintain schedules and track progress, ensuring timely completion of activities.
  • Use and maintain our filing system for all onboarding and subsequent materials and related documentation. Ability to independently assess functioning and make suggestions for improvements is a plus.
  • Ensure compliance with all regulatory and organizational requirements.
  • Assist in the preparation of reports and presentations as needed.
  • Act as a liaison between executives, physician-contractors, and other stakeholders, ensuring clear, effective, and well-documented communication.
  • Treat confidential information with discretion and maintain the highest level of professionalism.
  • Continuously evaluate and improve coordination processes and documentation thereof, to enhance efficiency and effectiveness. Proactively identify areas for improvement and recommend solutions to streamline operations.

  • Strong organizational skills with the ability to manage multiple projects and deadlines concurrently.
  • Excellent written, oral, and presentation communication skills, with a keen attention to detail.
  • Documented experience in a similar administrative or coordinating role, preferably in a clinical research or healthcare setting.
  • Demonstrable proficiency in word-processing, spreadsheets, presentation, cloud-storage, and data software. (We primarily use the Google Suite, the MSO Suite (occasionally), Airtable (a low-code RDBS), Javascript and SQL (not required), and other project management tools.
  • Ability to work both collaboratively and independently.
  • Experience in clinical trials or healthcare onboarding processes is a plus.
  • (Preferred) Bachelor’s degree in Healthcare Management, Business Administration, or a related field.
