Office Manager

Vay has developed an alternative approach to autonomous driving called Teledriving (remote driving) - to solve transportation in metropolitan areas.

Since becoming the first company that has driven a car on European public roads with no one inside Vay have become the leading Teledriving company in the world setting the global standard for remotely driven vehicles. Vay are now operating a safe, affordable, and sustainable door-to-door mobility service in the Las Vegas, US and will soon begin scaling to other locations in the USA, Europe & beyond. Our Vay Drive service is a driverless delivered, by the minute car rental service, creating an exciting, safe & affordable experience for all.

In this dynamic role, you’ll take ownership of critical responsibilities across office administration and human resources management, ensuring our facilities run smoothly and our people thrive. From maintaining cutting-edge Teledriver stations and coordinating seamless onboarding experiences to managing logistics for our global teams and organizing impactful company events, you will be at the heart of creating a supportive, efficient, and inspiring workplace. Office Administration:

  • Manage office facilities, including Teledriver stations, workshops, and office areas.
  • Oversee supplies, snacks, and drinks, ensuring availability for daily needs and events.
  • Maintain a clean, functional office: ensure coffee machines, water, and dishwashers are ready each day.
  • Coordinate repairs, maintenance, and vendor relationships.
  • Arrange logistics for visiting team members (accommodations, access, transportation).
  • Document and optimize office processes in Confluence.
  • Support leadership with meetings, scheduling, and events.
  • Plan and execute monthly/quarterly company events.
  • Manage internal use of company vehicles and oversee post management.

Human Resources Management:

  • Facilitate onboarding processes in collaboration with the Talent Acquisition team, including:
    • Welcoming new hires and providing an office tour.
    • Explaining general workplace rules, amenities, and guidelines.
    • Introducing the manager and/or buddy, assigning workspaces, and setting up their first day for success.
  • Manage employee badge access (physical key cards and digital systems).
  • Handle offboarding procedures, including revoking access for departing team members.

The profile:

  • Experience in office or facilities management, preferably in a startup or fast-moving work environment.
  • Proven ability to coordinate events and manage logistics.
  • Tech-savvy, with proficiency in tools like Google Workspace and other relevant software.
  • A proactive problem-solver who ensures smooth operations without requiring constant oversight.
  • Eager to learn and thrive in a fast-paced, dynamic startup environment.
  • A collaborative team player, ready to take ownership and contribute to the company’s success.
  • Strong organizational and multitasking skills with exceptional attention to detail.
