Facilities Invoice Specialist

Summary:

Tri Star Energy is currently seeking an experienced and qualified Facilities Invoice Specialist to join our innovative Facilities & Maintenance Services team in our Store Support Center in Nashville, TN. The Facilities Invoice Specialist is responsible for coordinating and assisting with all aspects of the maintenance database, including periodic reports, tracking capital expenditures, coding invoices, and other miscellaneous coordination and reporting duties within the department.

Primary Responsibilities:

• Writes and manages Purchase Orders for both Retail and Wholesale projects.
• Works in Maintenance/work order portal to complete and close work orders and document time and materials.
• Works in invoice approval software to properly code invoices and move to second level for Director’s approval.
• Creates and manages spreadsheets for maintenance database, vendors, and related projects to produce reports for cost projections, work orders completed/projected, resource utilization, etc.
• Completes special projects as assigned.
• Maintains items and costs of internal inventory used by field technicians.
• Tracks CAPEX hours from multiple departments to provide accurate information to accounting.
• Assists and cross trains with Assistant Facilities Coordinator and Facilities Operational Manager
• Maintains confidentiality of all company, client, employee, and vendor information.
• Reacts productively to change.
• Performs other duties as assigned.

Required Qualifications:

• High school diploma or GED equivalent; Associate’s degree in Business, Facilities Management, or a related field preferred.
• 2+ years of administrative and/or customer service experience in the accounting, maintenance, or facilities industries.
• Or, any equivalent combination of education and experience in job-related activities.

Preferred Qualifications:

• Prior experience in the C-Store and/or retail environment
