Situation Group, a global collective of digital-first advertising agencies and an award-winning nonprofit, seeks a Finance Coordinator to assist in managing the company’s finances to make sure we are operating sustainably, scalably & innovating in our daily practices. This role will report to the Director, Finance.
What You’ll Do
The Finance Coordinator supports the Director, Finance in the management of monthly financial reconciliation activities, vendor relationships and overhead invoice processing. The Finance Coordinator will communicate with the Director, Finance and Accounts Payable Coordinator to execute day-to-day responsibilities.
Our office is located in midtown Manhattan and the Finance Coordinator is expected to be in-office three days per week (Tuesday/Wednesday/Thursday).
Responsibilities include, but are not limited to:
- Overhead Invoice Processing: Includes accurately entering and coding all overhead invoices, and filing them digitally. This role manages vendor correspondence relating to invoicing as well as management of amortized expenses within the general ledger.
- Vendor Set-up & Management: W9 management, vendor setup and verbal verification of payment information.
- Payment Processing: Managing positive pay uploads, initiating and processing both ACH and wire payments for approval, as well as issuing and mailing physical check payments.
- Situation Project Billing Management: Setup donor profile, issue donor invoices and manage vendor invoicing and payment,
- Financial Reporting: Provide regular expense reporting and analysis for all business units, address re-coding actions and support in additional reporting requests as needed.
- Bank and Credit Card Reporting & Reconciliation: Management of monthly reconciliation of agency bank and credit card accounts, inclusive of the weekly distribution and processing of credit card transaction reports.
- General Ledger Management: Regular review of financial reporting to ensure the accuracy of account balances, making any corrections or adjustments as needed.
- Support Director, Finance: Provide additional support for financial projects and duties as requested by the Director, Finance.
- 1-3 years of experience in finance within a marketing agency preferred
- Bachelors Degree in Finance or Accounting or proven experience within the Accounting or Finance fields
- Ability to fluidly move between a variety of day-to-day responsibilities
- Detail oriented with strong organizational and prioritization skills
- Collaborative and solution-oriented
- Strong analytical & critical thinking skills
- Excellent communication skills, both verbal and written
- Competent in MS Office or related programs
