Onboarding Associate

We are seeking a dedicated and knowledgeable Onboarding Associate to join our team. The Onboarding Associate will assist new clients with the seamless establishment and funding of their self-directed IRAs (Individual Retirement Accounts). As the first point of contact for clients, this role requires a strong understanding of the IRA industry, financial services systems, and customer relationship management (CRM) tools. The Onboarding Associate will provide exceptional customer service directly to clients, guiding them through the Onboarding setup process from start to finish.  This includes answering inquiries and ensuring that all documentation and fund transfers are completed accurately and efficiently. This is a remote, full-time position offering the opportunity to work in a fast-paced, client-focused environment. The ideal candidate will demonstrate professionalism, expertise in financial services, and a commitment to client satisfaction. Current or previous experience in client onboarding is preferred.  


Responsibilities
  • Client Onboarding: Assist new clients in the process of establishing and funding their new IRA accounts, ensuring that all necessary documentation is completed accurately and submitted in a timely manner.
  • Account Setup and Funding: Guide clients through the steps to fund their IRAs, including rollovers, direct transfers, and contribution instructions.
  • Customer Support: Provide excellent customer service, answering client inquiries regarding the IRA account setup process, required documents, and funding procedures.
  • Documentation Review: Verify that all necessary documentation is complete and correct for account opening and funding, ensuring compliance with internal policies and regulatory requirements.
  • System Navigation: Utilize internal systems, CRM tools, and financial software to track client progress, update account information, and maintain accurate records.
  • Collaboration: Work closely with other departments (such as Operations, Compliance, and Sales) to ensure smooth account setup and funding processes.
  • Client Education: Educate clients on IRA-related topics, including contribution limits, tax implications, and available investment options, as needed for onboarding.
  • Process Improvement: Identify and recommend improvements to the onboarding process to enhance client experience and operational efficiency.
  • Promote Teamwork: Perform other duties as needed to support the team and enhance the client experience.


Qualifications
  • 1-3 years of experience in financial services, with a strong knowledge of IRA account types (Traditional, Roth, SEP, etc.) and industry regulations.
  • Proficient in CRM systems (Azure, HubSpot, or similar tools), email platforms, and financial services software.
  • Strong attention to detail and organizational skills.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Excellent verbal and written communication skills.
  • Problem-solving skills with a client-first approach.
  • In-depth understanding of IRA account opening, funding processes, and related financial services terminology.
  • Familiarity with financial industry regulations, including IRS rules governing IRAs and retirement accounts.
  • High school diploma or equivalent required; associate or bachelor’s degree in finance, business, or a related field preferred.
  • Comfortable working remotely and independently, with a reliable internet connection.


$20 - $25 an hour
