Job Summary
The Marketing Operations Manager takes a proactive role in overseeing the operations of commercial congresses, ensuring the effective planning and execution of both internal and external events and exhibitions. This includes managing the Veeva system, coordinating with vendors for MLR, and collaborating with cross-functional teams to manage the commercial budget.
RESPONSIBILITIES
Internal & External Events
- Build strong relationships with commercial and cross-functional teams.
- Ensure Orchard sponsorships align with corporate strategy and key stakeholder groups e.g. Diagnostics, Advocacy, commercial and Medical Affairs.
- Manage vendor activities for booths, room blocks, and symposia.
- Assist in the coordination and support of congresses and meetings to ensure everything runs smoothly.
- Deliver events within budget, handle financial reconciliation, and track ROI.
MLR & Veeva Management
- Oversee the MLR SOP process.
- Communicate regularly with vendors to support Veeva-related workstreams for MLR process.
- Serve as subject matter expert on Veeva PromoMats and collaborate with Orchard IT on system performance and updates aligned with our SOP.
- Collaborate with commercial teams and cross-functional MLR partners to ensure process is adhered to and running smoothly week over week.
External Speaker Management
- Coordinate speaker events, including vendor sourcing and logistics.
- Align speaker activities with marketing objectives and cross-functional teams.
Financial Management & Compliance:
- Create and track MSAs, SOWs, and POs across the Commercial team.
- Complete monthly vendor forecasts, track spending and coordinate budget reviews with vendors and internal teams to manage the overall budget.
- Ensure compliance with regulatory requirements.
Data Analytics and Reporting:
- Develop and implement KPIs and metrics to measure the effectiveness of marketing operations and events.
- Analyze data to report trends and insights to senior management and stakeholders.
- Optimise strategies using data analytics tools.
Innovation and Best Practices:
- Identify and implement best practices in marketing operations and event management.
- Benchmark against industry standards and competitors to enable continuous improvement.
Experience & Knowledge
· Minimum of 3 years’ experience in pharmaceutical or medical device industry with experience as a manager in marketing operations, commercial operations, event management, and/or marketing.
- Proficiency with Microsoft Office; experience with Veeva PromoMats & Salesforce preferred
- Strong knowledge and experience in overseeing MLR processes.
- Experienced and highly competent in managing vendors, engaging external speakers and communicating with external customers.

Education
- Bachelor’s degree required (ideally in a business or scientific discipline).
