The Opportunity 

The Travel & Card Ops Analyst is a newly created position that will administer the corporate card and Purchasing card program(s), document processes, respond to employee inquiries related to expense process and policies via email, instant message, and/or phone calls while providing superior customer service. The role will also manage travel as an expense category for Flock Safety and develop a category strategy around all travel related spend.  This role will work closely with cross functional teams to ensure that processes are current.  They are responsible for the flawless execution of Travel & Employee Expense operations and Purchasing Card Operations for Flock Safety. This role will serve as primary point of functional contact on the Navan travel & expense program including agency, credit cards, and expense.  In addition, this role will manage the Travel category of spend at Flock Safety and develop cost management strategies to help Flock manage its travel spend holistically.  This role will also manage and maintain the Purchasing Card Program for Flock.  Managing all data and analytics, the Card Administrator will be tasked with mining data on a global scale, creating meaningful intelligence for dissemination to management and the enterprise, identifying potential opportunities and remediate deficiencies. 


The Skillset 

Program Management

  • Develop good relationships with all business partners.

  • Administration of the Navan T&E and Purchasing card program(s).

  • Process T&E reports, audits, reimbursements, & reconcile expenses as required.

  • Review employee expense and PCard reports to ensure that they are compliant with internal policies.

  • Monitor past due expense reports and work with employees to process reports timely.

  • Align with tax and compliance guidelines developed by governing authorities/IRS.

  • Ensure compliance in all aspects of travel procedures including international travel regulations and currencies.

  • Stay audit ready.

  • Provide support and coordination for the Company's corporate card and expense program.

  • Assist with the use of the travel and expense application (e.g. Navan). 

  • Review and update process and internal control documentation for the corporate card, purchasing card and expense function, including user guides and references.

  • May train employees engaged in aspects of the corporate card, purchasing card and expense function and related internal control compliance.

  • Collaborate with other functions within the Finance department, including cash coding and bank reconciliation functions, and other technical resources and teams in order to maintain and improve communication and efficiency of processes across functional areas.

  • Maintain comprehensive knowledge of related applications and industry subject matter in order to review business processes for efficiency and suggest best practices where applicable.

Category Management

  • Continuously implement improvements in the travel program and travel categories.

  • Analyze travel spend overall and develop recommendations on how Flock can better manage its travel spend

  • Manage any/all contracts related to both card programs and travel categories. 

  • Work in Coupa as required.

Qualifications:

  • Two or more years work experience in travel categories & expense management.

  • Bachelor's degree in related field or equivalent work experience.

  • Experience with the accounting close cycle and how the T&E process impacts the financial statements.

  • Strong knowledge of an ERP system, NetSuite.

  • Strong knowledge of the T&E process. Knowledge of Navan is helpful.

  • Excellent communication skills and customer centric disposition that can diffuse contentious situations with suppliers and internal customers.

  • Skilled in providing analysis and commentary on metrics and files.Knowledge of corporate card administration.

  • Knowledge of T&E reporting and processing.

  • Experience working with finance ERP systems and reporting tools (Navan, NetSuite, Excel).

  • Excellent skills in communicating ideas both verbally and in written form in a clear, concise, and professional manner, with all levels, including presentations.

  • Customer-oriented approach and mindset.

  • Requires general business skills, industry knowledge, accounting principles of the T&E process.

  • Strong analytical and problem-solving skills including the use of Excel.

  • Ability to utilize judgment in decision making process related to job tasks.

  • Skill in productivity, planning, and workload management.

  • Ability to document SOP's and implement process improvements

90 Days at Flock

We are a results-oriented culture and believe job descriptions are a thing of the past. We prescribe to 90 day plans and believe that good days, lead to good weeks, which lead to good months. The First 30 Days

  • Become familiar with the two main tools you will be using: Coupa and Navan.

  • Familiarize yourself with NetSuite and DocuSign.

  • Familiarize yourself with the new Purchasing Card program through SVB and how we want to expand it.  

The First 60 Days 

  • Get fully embedded with the Navan program and get comfortable.  

  • Take over the Purchasing Card Program.

90 Days & Beyond 

  • Begin to explore Travel as a spend category.

  • You are comfortable managing all aspects of Navan and are ready to provide reporting as required or support an audit as needed. 

  • You are fully involved in all aspects of the Purchasing Card program

  4. The Executive Review: A chance to meet an executive and view Flock from a different lens. Be prepared to ask well-thought-out questions about the company, culture, and more.

💰Salary & Equity: In this role, you’ll receive a starting salary of $85,000-$100,000 as well as stock options
