Your Mission:
The Talent Acquisition Operations Manager will play a pivotal role in optimizing and enhancing recruitment operations across the organization. This individual will collaborate closely with the Talent Acquisition team to streamline recruitment workflows, improve process efficiency, and ensure consistency across all stages of hiring. With a focus on process improvements, data accuracy, and cross-functional collaboration, the Talent Acquisition Operations Specialist will be integral to enhancing the candidate and hiring manager experience while driving operational excellence.

  • Collaborate with the Talent Acquisition team to streamline and enhance recruitment workflows, ensuring efficiency and consistency across all stages, from job requisition to candidate tracking and approval processes. 
  • Identify opportunities for process improvements to elevate both the candidate and hiring manager experience.
  • Oversee the collection, analysis, and reporting of recruitment data, including key metrics such as time-to-fill, candidate pipeline, and diversity, to provide insights that drive strategic decisions. 
  • Ensure compliance with recruitment policies by maintaining accurate records and data.
  • Administer and optimize the use of Greenhouse as the primary ATS, ensuring the system is fully leveraged across all recruitment activities.
  • Utilize LinkedIn Recruiter to source and engage top talent, track candidate interactions, and manage pipelines.
  • Provide training and ongoing support to Talent Acquisition team members on how to maximize the use of Greenhouse, LinkedIn Recruiter, and Metaview.
  • Collaborate with IT and external vendors to troubleshoot system issues, implement upgrades, and integrate new tools or technologies as needed.
  • Create, update, and maintain Standard Operating Procedures (SOPs) for all Talent Acquisition processes in Confluence, ensuring consistency, clarity, and easy access to recruitment workflows, process guides, best practices, and training materials. Continuously refine SOPs based on feedback, evolving best practices, and changes in recruitment tools or strategies.
  • Develop and promote the Candidate Referral Program to drive high-quality referrals by setting clear goals, tracking key metrics, and incentivizing employee participation.
  • Collaborate with leadership and HR to understand hiring needs and align recruitment strategies with business growth, while also creating and maintaining capacity planning models to forecast future hiring requirements and adjust strategies based on market conditions or evolving business priorities, ensuring sufficient resources for talent acquisition.
  • Manage and oversee the "Bar Raiser" program, a key initiative aimed at elevating the quality of talent hired by setting higher hiring standards and ensuring that candidates meet or exceed the company’s talent expectations. Continuously refine the program by collaborating with cross-functional teams to drive consistency and success in identifying top-tier candidates.
  • Leverage experience with system integrations, particularly with Greenhouse ATS, to ensure seamless data flow between recruitment platforms and other HR systems, optimizing the hiring process and enhancing the overall efficiency of talent acquisition operations.

What You’ll Bring to Engine
We’re looking for someone who’s ready to make an impact and grow alongside us:

  • Minimum 5 years of experience in talent acquisition operations with a strong focus on technology optimization.
  • Expert level proficiency in Greenhouse ATS, with deep experience in configuring workflows, reporting, and candidate tracking.
  • Strong experience with LinkedIn Recruiter for sourcing and managing talent pipelines.
  • Experience with Ashby Analytics or similar tools that provide data-driven insights for hiring teams is strongly preferred.
  • Familiarity with Metaview and its application for analyzing interview data and improving hiring decisions.
  • Advanced proficiency in Google Suite (Google Sheets, Google Docs, Google Slides, Google Drive), with the ability to manage and analyze large datasets.
  • Strong organizational and project management skills, with the ability to prioritize and manage multiple tasks effectively in a fast-paced environment.
  • Excellent analytical and problem-solving skills with a keen eye for data accuracy.
  • Strong communication and interpersonal skills, with the ability to work effectively with cross-functional teams.
  • Experience using Confluence for documenting SOPs and processes is required.
  • A proactive and collaborative approach to improving talent acquisition processes and systems.
  • Data visualization skills, with experience using Looker.
  • Experience working in a fast-paced, high-growth environment.
