Executive Assistant for People and Culture

  • General
    • Executive Assistant for People and Culture
      • Appointment Management: Anticipating, prioritising and managing appointments with judicious use of insight into current and emerging commitments to ensure best use of time.
      • Meeting Support: collate material for the meetings and presentations, draft agendas and minute meetings.
      • Travel Coordination: Managing all travel and accommodation bookings and providing remote administrative support.
      • Adhoc Tasks from People and Culture
      • Assist with People and Culture Projects as the need arises.
      • Assist head of Safety with adhoc tasks as needed as well
  • Travel Admin Tasks
    • Travel arrangements for Staff as needed
    • Consolidating travel reports, running internal training and liaising with Corporate Traveller.
  • HR Admin Tasks
    • Officevibe Monthly Stats
      • Took a solid 2/3rd of a day to get downloaded + formatted + comments made for the captains
    • Add Staff contracts to Employment hero for all staff
    • Assist with creation and maintenance of Staff Policies
    • Check Staff Leave:
      • Use PH I’m out and AU I’m Out to make sure everyone has logged their leave if needed, report any issues back to Josh then to relevant captains.
  • Onboarding Tasks:
    • Run through new staff checklist for both AU, NZ and PH Staff
    • Book meetings with all relevant staff within 6x week blocks using outlook scheduling assistant.
    • Work to create an onboarding for our PH staff with Josh long term
    • Maintain list of who has and hasn’t completed onboarding events
      • Will work with Josh to develop out the Learning Management System in Employee hero
  • Hiring
    • Filter through resumes on Workable/Employment Hero for AU and PH Staff
    • Arrange interviews for potential candidates with Staff
    • Experience poaching desirable but not a must

Wellbeing:

  • Assist in building out the company Learning Management system
  • Help arrange team building activities in PH
    • Travel coordination and planning for teams of 50+ in PH
  • Investigate what best practice is for staff wellbeing and benefits in Australia with People and Culture
