About the Role 

The secretariat officer delivers stakeholder-focused support for committees. This full-time role demands strong organisational skills, sound judgement, diplomacy and resilience. 

Responsibilities include:  

  • facilitate the recruitment, appointment, induction and remuneration of committee members 
  • establish and maintain professional relationships with stakeholders, including committee chairs and members, departmental representatives and other experts 
  • support effective and efficient information management, including monitoring shared secretariat email inboxes and phone lines, and maintaining records 
  • edit, format, consolidate and distribute agenda papers and out-of-session items 
  • plan, schedule and host committee meetings online, keeping a record of attendee apologies and proxies 
  • provide logistical support for all committee meetings, including admitting attendees, sharing slides, monitoring the chat and taking detailed notes 
  • draft minutes and action items for departmental and/or chair review 
  • manage timeframes to ensure the successful delivery of contracted deliverables 
  • assist with other activities within the Evaluation and Advisory division, including the preparation of proposals and deliverables.

You’ll have the opportunity to work from home and in our Melbourne office with the team (minimum one day per week in the office). 

About You 

You're an experienced professional. You have: 

  • tertiary qualifications in science or health sciences 
  • a background in administration and governance 
  • strong organisational skills, sound judgement and a diplomatic approach 
  • excellent oral and written communication skills and experience liaising with a wide range of people, including government representatives and technical experts 
  • exacting attention to detail 
  • excellent time management skills, including the ability to prioritise competing demands 
  • expertise in Microsoft Office, including Word and Teams 
  • experience in collating meeting papers using Adobe Acrobat 
  • the ability to navigate and synthesise technical content 
  • availability to work outside business hours (9am to 5pm) to meet deadlines if the need arises.
