Responsibilities: 

  • Provide daily support to office staff and executive leadership, ensuring all administrative and operational needs are met with professionalism and discretion.
  • Manage office logistics and inventory, including restocking fridges daily, loading the dishwasher, cleaning the fridge weekly, and maintaining office and kitchen supplies.
  • Prepare and organize conference rooms for internal and external meetings.
  • Manage and prepare daily swag packages for the sales team.
  • Coordinate catering for corporate meetings and events, ensuring timely service.
  • Plan and coordinate the company holiday party, including vendor management, logistics, and internal communications.
  • Handle personal errands and ad hoc requests for executive management.
  • Maintain calendars for the sales team and executive leadership, including scheduling, rescheduling, and coordinating logistics for meetings and events.
  • Organize and support off-site meetings and company-wide events, ensuring all materials and logistics are in place.
  • Attend internal meetings, take accurate notes, track action items, and follow up with responsible parties to ensure completion.
  • Professionally interface with clients, partners, and vendors while maintaining the confidentiality of sensitive information.
  • Prioritize and execute high-responsibility projects under tight deadlines.
  • Proactively identify issues, propose solutions, and escalate matters when executive input is required.

Qualifications: 

The individual must possess the following knowledge, skills, and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of knowledge, skills, and abilities: 

  • Bachelor’s Degree;
  • Strong organizational and interpersonal skills, with excellent attention to detail;
  • Positive attitude & team player;
  • Strong communication (verbal, listening, writing);
  • Strong problem-solving skills;
  • Highly motivated self-starter who is technology-savvy;
  • Can-do positive attitude with the willingness to help;
  • Effective decision-making & conflict-management skills
  • A forward-looking thinker who seeks opportunities and proposes solutions;
  • Reliable transportation and clean driving record;
  • Proficient in Microsoft Office (Word, Excel, Powerpoint), Adobe Acrobat, and Google Suites;
  • 3+ years of prior C-level administrative support experience.
  • Willingness to work onsite in our El Segundo office from Monday to Friday.

Compensation: 

$23.00 - $28.00 Per Hour
