WomenHeart is both a coalition and a community of thousands of members nationwide, including women heart patients and their families, health care professionals, health advocates, all committed to helping women live longer, healthier lives. This organization is poised for rapid expansion and leadership in the field.
Position Summary:
The Programs Support Associate provides essential day-to-day communication and support for WomenHeart’s volunteer corps, ensuring that WomenHeart Champions have the resources they need to successfully lead patient support and community education efforts. This role includes tracking and reporting on Champion-led activities, coordinating engagement opportunities, and providing direct support to Champions through structured programs like Champion office hours, educational sessions, and other support activities.
Duties & Responsibilities:
Monitoring & Supporting Champion Activities
• Support and monitor Champion-led activities, including patient support groups, educational outreach, and advocacy efforts.
• Track engagement in Champion-led initiatives, ensuring Champions have the resources and guidance needed to effectively carry out their roles.
• Maintain updated volunteer records, tracking Champion participation in support networks, outreach events, and educational activities.
• Coordinate volunteer opportunities by liaising with event organizers, promoting opportunities, identifying Champions, and ensuring clear communication.
Direct Support for Champions
• Provide direct support to Champions through structured engagement programs, including:
• Office hours to address questions and provide guidance.
• Educational sessions to help Champions develop their skills and stay informed.
• The Champion support group for Champions, ensuring peer-to-peer encouragement and connection.
• The mentorship program, facilitating connections between new and experienced Champions.
Program Implementation & Logistics
• Assist with the implementation and execution of patient support programs (e.g., SisterMatch, HeartScarves, Red Bags of Courage, Inspire).
• Support the planning and execution of webinars and continuing education programs for WomenHeart Champions.
• Assist with conference planning and execution, including logistics and on-site support at events.
• Work with the marketing team to highlight Champions and their achievements across WomenHeart’s communications platforms.
• Maintain and update relevant pages on WomenHeart’s website related to patient support and community education programs.
Program Data & Administrative Support
• Track and maintain program data, including Champion engagement, patient support activities, and community outreach efforts.
• Ensure accurate data collection and reporting so that program evaluation processes run smoothly.
• Field phone calls and emails from the Champions and the public, directing inquiries to appropriate support services.
• Support administrative team as needed, including phone coverage, mailings, and supply management.
Qualifications:
• 1-2 years of programmatic experience, with a strong preference for experience in volunteer management.
• Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and maintain a professional demeanor.
• Excellent verbal and written communication skills, adept at engaging diverse stakeholders and maintaining a strong and open line of communication in a remote environment.
• Commitment to respectful and solution-focused communication in all interactions with colleagues, volunteers, and external partners.
• Proactive and independent worker who contributes meaningfully to a team by collaborating effectively and bringing proactive solutions.
• Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook), Canva, and willingness to learn to operate new systems.
• Must be available for some travel and occasional evening/weekend work.
