Compliance Assistant
Location: Remote - must be located in PST time zone
Ideal Candidate Qualifications:
-Minimum of 1 year of business licensing experience, preferably within a law firm and/or the construction industry.
-Background as a legal secretary or legal assistant is beneficial.
-College graduate preferred.
-Notary public or willingness to become a notary public.
-Strong attention to detail, including accuracy in numbers, spelling, and grammar.
-Comfortable performing repetitive tasks.
-Proficiency in Microsoft 365 applications (Outlook, SharePoint, etc.).
Job Responsibilities:
-Manage jurisdictional and business licenses, including data entry.
-Respond to various requests, including:
-Vendor and customer setup requests
-Credit application requests
-W-9s
-Bid requests
-Other inquiries from the Compliance inbox (e.g., prevailing wage)
-Manage Certificates of Insurance within Salesforce.
-Provide backup support for Contracts.
-Assist with closing cases requiring additional work.
-Process contracts in the absence of the Contract Paralegal.
-Cross-train to support Accounts Payable (AP) when workflow allows, including vendor invoice processing, check requests, and ad hoc projects.
-Assist with portal-related duties on a limited basis.
-Provide limited backup support for the Compliance Paralegal.
