About the Role
We’re looking for a detail-oriented and proactive Financial Operations Assistant to support our finance, sales, and administrative functions. You’ll be responsible for managing receivables, generating daily reports, handling commission tracking, processing lead refunds, and ensuring follow-up on tasks across departments. Key Responsibilities
- Allocate incoming funds and expense receivables in internal systems accurately and promptly
- Generate and maintain daily commission and call reports for sales representatives
- Process lead refunds for invalid or poor-quality leads
- Monitor shared inboxes for supplier invoices, task-related emails, or action items
- Track tasks and ensure follow-through by the appropriate team member
- Support ongoing financial workflows, including invoicing and data entry
- Maintain up-to-date and clean records using spreadsheets and other systems
- Assist with various administrative and operational tasks as needed
- Identify process issues or discrepancies and proactively escalate or resolve them

- You have 2–4 years of experience in finance, sales operations, or administrative roles
- You're proficient in Excel/Google Sheets (you know your way around formulas and pivot tables)
- You’re extremely detail-oriented and organized — nothing slips past you
- You’re great at following up, keeping things on track, and ensuring nothing falls through the cracks
- You can handle sensitive information with discretion and professionalism
- You work well independently but aren’t afraid to collaborate or ask questions
- Experience with CRMs or accounting software is a bonus (Salesforce, HubSpot, QuickBooks, etc.)
What Does a Typical Day Look Like?
- Check inboxes and triage emails related to invoices, refunds, and task assignments
- Generate and distribute daily commission and call reports to the sales team
- Process any lead refund requests based on reported issues
- Enter receivables and allocate funds in internal systems
- Update and manage reporting spreadsheets
- Coordinate with team members to ensure open items are being followed up on
- Tackle miscellaneous admin tasks or support requests as they arise
- Flag issues or discrepancies to relevant stakeholders
