We are looking for a detail-oriented and proactive Service Support Virtual Assistant to assist with the daily operations of the Service Department. This role is essential in ensuring accurate technician time tracking, managing service records, and supporting billing processes. The ideal candidate should have strong organizational skills, keen attention to detail, and the ability to adapt to the automotive service environment.
Key Responsibilities:
1. Technician Time Tracking & Auditing
- Monitor and review technician time entries in the Dealer Management System (DMS).
- Ensure accurate logging of work hours and flag any inconsistencies.
- Generate reports on technician productivity and efficiency for management review.
2. Service Documentation & Expense Management
- Input purchase orders, repair costs, and miscellaneous expenses into the system.
- Maintain accurate records of parts and labor costs for each repair order.
- Assist in tracking parts availability and managing service-related inventory.
3. Service Workflow Optimization (Future Responsibility)
- Help develop and maintain service menus for commonly performed repairs.
- Update and manage parts lists to streamline ordering and inventory tracking.
- Organize service documentation for easy reference by technicians and service advisors.
4. Monthly Billing Support (Future Responsibility)
- Assist in generating and reviewing invoices for long-term service projects.
- Ensure all billable hours and parts are correctly documented before final invoicing.
- Collaborate with the accounting team to process service transactions efficiently.
- Experience in administrative support, data entry, or service coordination (preferably in the automotive industry).
- Familiarity with Dealer Management Systems (DMS) or similar service tracking tools is a plus.
- Strong attention to detail and ability to identify discrepancies in reports.
- Excellent organizational and time-management skills.
- Proficiency in Google workspace, Microsoft Office (Excel, Word) and cloud-based collaboration tools.
- Ability to work independently while maintaining clear communication with the service team.

- Background in automotive service support or familiarity with repair order processes.
- Experience in handling invoicing, purchase orders, and expense tracking.
- Knowledge of service menu building and inventory management.
