Position Overview:
involves supporting the dealership's administrative functions, including paperwork processing, customer communication, and maintaining records, while also assisting with various tasks related to sales, service, and parts departments (you can put your spin on it, if you would like.). This role requires someone who is highly organized, proactive, and able to handle a variety of tasks with a focus on accuracy and efficiency.
Key Responsibilities:
Assist in managing the day-to-day operations of the office, ensuring a smooth workflow and efficient processes.
Support accounts payable/receivable functions, including invoice processing, payments, and reconciliations.
Coordinate with various departments to ensure timely and accurate information flow.
Handle customer and vendor inquiries with professionalism and ensure follow-up on any outstanding issues.
Assist in the preparation and filing of necessary documentation for DMV, title, and registration processing.
Manage office supplies and inventory, ensuring the office is well-stocked and organized.
Support the Office Manager in training and mentoring office staff as needed.
Perform additional duties as assigned by the Office Manager to support overall dealership operations.
Qualifications:
High school diploma or GED required; Associate’s or Bachelor’s degree in business or related field preferred.
Previous experience in an office management or administrative role, preferably in the automotive industry.
Strong knowledge of accounting and bookkeeping principles.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with dealership management software.
Excellent organizational skills with a keen eye for detail.
Ability to multitask and prioritize in a fast-paced environment.
Strong communication skills, both written and verbal.
Ability to work independently and as part of a team.
Positive attitude and willingness to learn and adapt to new challenges.
