This role is an Australia-based, fully work-from-home position, with access to co-working spaces in Sydney, Melbourne and Brisbane.
The primary purpose of the role is to manage the workflow of projects within the Marketing department.
This includes planning, resource allocation, tracking, and coordinating project activities from inception through completion.
The Workflow Manager is responsible for ensuring that all projects are delivered on time, within scope, and within budget, while also facilitating communication between team members, departments, and external stakeholders.
Key Responsibilities:
Traffic Management
Maintain the processes and procedures for project tracking via established project management platforms (Asana, Harvest/Forecast)
Coordinate the flow of projects from account services to creative, production, and other departments as necessary.
Schedule and prioritise workloads to meet project deadlines.
Monitor project progress and adjust schedules and resources as needed to meet project timelines.
Act as a liaison between departments via the ops team (performance, brand, production, tech, CRM) to ensure clear communication and efficient workflow.
Maintain detailed records of project statuses, timelines, and resource allocation via PMS
Identify potential bottlenecks or delays and work proactively to address them.
Facilitate communication between project managers and creative team to ensure a clear understanding of project goals and progress.
Responsible for knowing and assisting in the management of the Marketing Calendar.
Manage the distribution and allocation of resources, including staff and materials.
Project Management
Managing smaller, ad hoc jobs that fall outside the remit of the project managers
Overseeing the utilisation of our Digital Asset Management system (Bynder) - ensuring content is being archived accurately and updated regularly
Understanding of creative production process to assist the integrated producer with work overflow

In addition to these foundations, you will have
5-6 years experience working in a similar level role in a fast-paced environment.
Strong organisational and project management skills and ability to manage multiple projects simultaneously.
Understanding of the creative process and working with creative teams
Proficiency in project management software and tools
