Job Summary: This position is responsible for processing payable invoices, reconciling vendor accounts, and maintaining vendor files while ensuring accurate and timely coding, batching, and entry of vendor invoices. This role works closely with internal departments and external vendors to maintain accurate financial records and support compliance with Company policies.


Essential Duties and Responsibilities: 

•Review, code, obtain proper approval for, and enter high-volume invoices 

•Review and compare invoices against corresponding purchase orders to ensure accuracy in pricing, quantities, and terms

•Maintain vendor records, investigate and resolve discrepancies, and ensure compliance with tax reporting requirements, including W-9 and 1099 filings 

•Perform monthly AP reconciliations, including vendor statements, purchase orders, and expense reports

•Respond to vendor inquiries timely and accurately 

•Assist with the preparation of the weekly check run by assembling and prioritizing check batches for review and approval

•Process and create facility invoices as appropriate 

•Provide supporting documentation for accounting journal entries as required

•Collaborate with Accounting, Finance, and Operations to improve processes and resolve payment-related issues 

•Other duties as assigned


Qualifications: To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or ability required.


Education: Associate’s or Bachelor’s degree in a relevant field from a two-or four-year college or university. 


Experience: 

•One to two years of accounts payable experience with high-volume transactions

•Knowledge of accounting principles, practices, and the general ledger 

•Notary public certification, or willingness to obtain certification within first six (6) months of employment (preferred)


Technical Skills:

•Computer and Microsoft Office proficiency

•Proven ability to create, read, and analyze reports 

•Proficiency with and/or the ability to quickly learn the Company’s ERP systems (Oracle preferred) 


Soft Skills:

•Highly organized and detail orientated 

•Strong verbal and written communication skills 

•Ability to multi-task and work in a fast-paced, deadline driven environment 

•Strong customer orientation 

•Superior time management skills

•Excellent judgement and problem-solving skills

•Ability to work with all levels of management and staff


Physical Requirements: 

•Must be able to pass pre-employment screening that includes background and drug testing

•Must have a valid driver’s license and a driving record that meets Company requirements

•Sitting at a desk for 6-8 hours a day

•Working on a computer for 6-8 hours a day 

•May be required to work long and unpredictable hours
