We are seeking a proactive and highly organized Executive Assistant (EA) to support the Founder and Sports Performance Physical Therapist. This role is ideal for someone who thrives in a fast-paced environment, excels at follow-ups, and can streamline processes to enhance efficiency. You will play a key role in ensuring that no leads fall through the cracks and that all communications are handled with precision and professionalism.
As an EA, you will be responsible for managing workshop coordination, handling mobile and in-gym appointments, overseeing email communications, and assisting with social media content and marketing campaigns. Additionally, you will help integrate and optimize the use of existing systems like Go High Level and Jane App to improve workflow efficiency.

- 3+ years of experience as an Executive Assistant, Administrative Coordinator, or in a similar role.
- Strong experience in email and calendar management, task coordination, and client follow-ups.
- Proficiency in Go High Level, Jane App, or similar CRM and scheduling tools.
- Excellent written and verbal communication skills.
- Ability to take initiative, solve problems independently, and implement efficient workflows.
- Strong organizational and time management skills.
- Familiarity with social media platforms and basic content creation tools is a plus.
- Good to Have: Social media experience.
- Technical Requirements: Reliable high-speed internet, a modern laptop with a multi-core processor, and a noise-canceling headset.
Key Responsibilities
- Follow-Up Management: Ensure timely and structured follow-ups with potential clients to optimize conversion rates.
- Workshop Coordination: Communicate with gym owners and trainers, manage event planning logistics, and ensure seamless workshop execution.
- Scheduling & Patient Management: Handle and optimize scheduling for both in-gym and mobile patient appointments, considering travel time and availability.
- Email & Communication Management: Oversee inbox management, draft and review emails, and maintain a system for prioritizing key messages.
- Social Media & Marketing Support: Assist in content creation, schedule posts, and maintain a consistent online presence across platforms.
- System Integration & Optimization: Leverage tools like Go High Level and Jane App to enhance efficiency and automate workflows.
