About the role:

 

The Global Sponsorship Sales Support will provide timely, efficient and reliable administrative support to the account managers of the Sponsored Copies Sales Team, with a specific focus on financial administration.

 

Main Duties and Responsibilities:

 

Sponsored copies Invoicing & Finance Administration

  • To work with the Accounts Receivable Team to ensure that AFT and AUS invoices are raised monthly. Complete the Invoice Request Forms for each sponsorship campaign, submit contracts and other vital documents.
  • To work with the Management Accountant in charge at each month-end to audit Fusion-processed invoices.
  • To generate Purchase Order numbers in Coupa for all suppliers/vendors orders.
  • To ensure all suppliers have submitted their invoices, to submit actual invoices to the Accounts Payable Team and to code them in the Coupa system.
  • To work with the Accounts Payable Team to ensure suppliers/vendor invoices are paid monthly.
  • Handling of internal & external invoicing-related queries.
  • Monthly meetings with the Sponsorships Team to ensure all supplier and client invoices are handled for each region.

 

Sponsorship Data Management

  • To receive signed contracts and IO’s for processing
  • To manage the Sponsorship Sales Tracker UK/CEMEA/US by:
  • Ensuring all campaigns bookings are logged accurately, revenues and copy volumes are recorded accurately and regularly.
  • Ensuring that each distribution costs are accurately recorded for each campaign.

 

Sponsored copies Inventory Management

  • Management of the Sponsored copies inventory for sponsorship platforms across all regions on the Tracker, chasing of the relevant internal stakeholder(s) on holds.

 

Sponsored copies Campaign Management

  • Proofing of advertising clients artworks & liaising with printers and creative agencies over Sponsorship materials.
  • Liaising with UK/CEMEA third party printers as well as with the FT print sites across Europe/UK to coordinate (and supervise if vital) the branding material delivery schedules.

 

Others

  • Ad-hoc data entry and administrative duties, and special projects which may be assigned temporally (i.e. crafting client case studies, etc)
