Operations Support Officer (Australian Mortgage, Hybrid)

Schedule: Monday – Friday (6:00 AM - 3:00 PM)

Work Setup: 2-day in-office hybrid arrangement

What are we looking for?

The Operations Support Officer plays a vital role in ensuring the operational efficiency and effectiveness of the team. Working closely with the National Outsource Manager and Operations Manager, this position enables them to focus on strategic planning, stakeholder engagement, and continuous improvement initiatives.

Key responsibilities include maintaining clear and consistent communication with stakeholders, updating systems and CRM platforms, generating and analysing performance reports to support data-driven decision-making, and assisting in the delivery of projects and the implementation of process improvements within defined timelines. This role is crucial to the seamless execution of daily operations and the achievement of long-term organisational objectives.

  • Strong written and verbal communication skills, with the ability to craft professional messages and updates.
  • Exceptional customer service skills with a friendly and professional demeanor.
  • Willing to take necessary actions and decisions to meet objectives and deadlines.
  • Has the ability to problem solve and work proactively.
  • Able to work proactively and independently with minimal supervision.
  • Exhibits strong attention to detail when reviewing important documents, identifying errors, ensuring compliance and maintaining high accuracy through meticulous validation.
  • Willing to take initiative and make decisions to meet objectives and deadlines.
  • Must be well-organized and capable of managing and resolving conflicting priorities.
  • Confident in liaising with internal stakeholders and external brokers.

What will you do?

  • Providing general administrative support to the team.
  • Perform Data management across various platforms including Hubspot, ClickUp and MyCRM
  • Reporting on key areas and functions within the department.
  • Maintain document control and records management systems
  • Support project planning, execution and monitoring
  • Assist with monthly billing preparation and reconciliation
  • Finding efficiencies and bringing new ideas to streamline processes.
  • Draft and format professional communications and templates for internal and external stakeholders.
  • Assist in updating, rosters, and task pipelines.
  • Collect and compile survey feedback and operational insights for reporting
  • Send out regular communications and updates to key stakeholders via appropriate channels.
  • Identify inefficiencies in systems or workflows and propose process improvements.
