The Travel Trade Assistant, Groups - North America is a support role working with the North American team of Client Directors in Groups Sales who manage accounts in all segments, through timely and accurate delivery of a series of administrative tasks.
The role is also responsible to follow progress of all groups negotiations and updating OSC and all account management systems with up to date and accurate information about productivity and account performance.
The role is also required to have regular communications with the sales teams at property level, to ensure the information included in the Groups proposals is always current and personalized.
The purpose of this role is to alleviate the administrative burden from the above property sales teams, allowing them to effectively concentrate on business development and revenue generation. Another important purpose of this role is a personal contribution to enhance the overall Customer experience by minimizing the time elapsing between a customer request and the elaboration of a personalized answer.
Primary responsibilities include:
Database Management
- Maintain accurate and up to date Account and Contact data in OSC as directed by Client Directors / Managers
- Update sales activities in OSC as directed by Client Directors / Managers
Production and Sales Reports
- Produce and analyse monthly and quarterly production reports as required by Divisional Director of Sales and Client Directors, with proficient and proactive use of all available Account Management and Business Intelligence tools (OSC, Tableau, Groups Drumbeat, etc.)
- Process supplier invoices through Workday and keep track of expenses related to sales activities carried out by Client Directors / Managers and monitor year-to-date expenses are in line with budgeted funds
Product Knowledge
- Be constantly informed of all latest Belmond products’ news, offers, promotions, etc.
- Provide sales teams with access to the most current presentations, collateral for every Belmond product through Info Hub and every other available source of information
Customer Events
- Assist Client Directors/Managers in organizing, planning and executing all Customer events, including roadshows, trade shows, sales missions, and inbound sales trips for property-based sales directors.
- Assist in setting up and managing product training sessions for both property-based sales directors and above property client directors / managers
- Support Client Directors/Managers with the organization and delivery of virtual Customer sales events and presentations
- Manage invitation process to all sales events, RSVPs, follow-ups, and all administrative communications to Customers and Property-based sales team on behalf of Client Directors/Managers
General
- Process supplier invoices through Workday and keep track of expenses related to sales activities carried out by Client Directors / Managers and monitor year-to-date expenses are in line with budgeted funds
- Complete any additional task that is directly related to increase the team of Client Directors/Managers productivity and efficiency as directed by the Divisional Director of Sales or the VP, Global Sales.
- Serve as “out-of-office” backup for Client Directors when they are travelling on business
- Attend and actively contribute to regular sales meetings
- Master usage of all available BI tools provided by Power BI, and implement a regular strategic analysis of markets, properties and account performance.
- Assist Client Directors and Client Managers in maintaining a clean database of all their owned accounts and contacts, with all sales activities promptly logged into OSC.
- Prepare all production, account management and other sales reports as requested by the direct manager.
The role is a fully remote, work from home position. Candidates should be located near the MidWest or East Coast of the US.
