Executive Assistant

We are seeking a highly skilled Executive Assistant to provide top-tier support to our partnered clients and companies. This role requires exceptional organizational skills, discretion, attention to detail, and proactiveness. The ideal candidate will excel in managing multiple priorities within a rapidly evolving startup environment.

Responsibilities

  • Provide high-level administrative support to senior executives, including calendar management, travel arrangements, invoicing, payroll, and correspondence.
  • Serve as a gatekeeper and primary point of contact between executives, internal teams, and external stakeholders.
  • Prepare and edit reports, presentations, and other documents for meetings and executive communications.
  • Plan and coordinate meetings, ensuring proper agenda preparation, logistics management, and follow-up actions.
  • Handle sensitive and confidential information with the utmost professionalism and discretion.
  • Manage special projects and strategic initiatives as assigned by executives.
  • Facilitate seamless communication and collaboration across internal departments.
  • Assist in event planning and execution for executive-level meetings and corporate events.
  • Conduct research and compile data to support executive decision-making.
  • Bachelor’s degree in Business Administration, Communications, or a related field (preferred).
  • 5+ years of experience as an Executive Assistant, preferably supporting C-suite executives.
  • Strong proficiency in Microsoft Office, Google Suite, CRM tools, Excel, and project management software (including invoicing tools).
  • Excellent written and verbal communication skills.
  • Ability to anticipate needs, exercise sound judgment, and take initiative.
  • High level of professionalism, integrity, and discretion in handling confidential information.
  • Strong problem-solving skills and adaptability in a fast-paced environment.
  • Proven experience managing multiple priorities and meeting deadlines with efficiency and accuracy.
  • Previous experience working with US-based clients/companies or in a startup environment is a plus.
