The Role

We are seeking a reliable and detail-oriented Office Administrator to manage day-to-day administrative operations while supporting basic accounting tasks.

The ideal candidate will ensure the smooth functioning of the office and assist the finance team with routine reporting activities.

Specific responsibilities include:

  • Answer and direct incoming phone calls in a professional and courteous manner.
  • Manage daily office operations, including handling correspondence, filing, and supply management.
  • Responsible for the procurement and management of office supplies.
  • Maintain organized electronic and paper filing systems.
  • Arrange travel and accommodation for staff and management.
  • Assist in organizing company events, meetings, and staff activities.
  • Monitor and maintain office budgets and petty cash.
  • Manage employee expense reports, including collection, verification, and processing of reimbursable expenses.
  • Liaise with external vendors and service providers as needed.
  • Oversee the setup of new office spaces, including purchasing furniture, lighting, and managing electricity and internet provider contracts.
  • Ensure compliance with company policies and administrative procedures.
  • Assist the finance department with basic accounting tasks, including data entry of invoices and expense reports
  • Perform bank reconciliations and assist in accounts payable and receivable tracking.
  • Bachelor's degree or diploma in Business Administration, Accounting, or a related field is preferred.Proven experience as an Office Administrator, Administrative Assistant, or relevant role.
  • Basic knowledge of accounting principles and financial procedures.
  • Proficiency in MS Office (Word, Excel, Outlook); experience with accounting software (e.g., Soft1, Entersoft) is a plus.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Exceptional attention to detail and the ability to stay focused on the specifics of each task.
  • Strong listening skills, with the ability to carefully follow instructions and understand the finer details of tasks.
  • Clear and effective communication skills, both written and verbal, in Greek and English.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
