Business Operations Associate

The role: 

At Zenysis, roles aren’t defined by narrowly scoped duties – we value flexibility and adaptability. As the Business Operations Associate, you’ll play a pivotal role in ensuring the smooth operation of our global, remote-first organization. This role supports the efficient functioning of our organization by overseeing core processes, improving systems, and driving cross-functional coordination.


You’ll work closely with teams across the organization to manage key tools, support onboarding and offboarding workflows, oversee knowledge management systems, and lead initiatives that improve how we work.

Responsibilities:


Support Strategic and Operational Planning Processes

- Manage contracts and payments for remote coworking spaces, supporting a global team.

- Oversee and maintain the company’s knowledge management system (e.g., Slab), ensuring content is current and accessible.

- Coordinate key internal meetings, including preparing agendas, taking notes, and sharing outcomes.

- Support human resources processes, including equipment procurement, onboarding, offboarding, and managing the company’s IT asset register.


IT & Systems Administration

- Oversee organizational accounts (e.g., Google Workspace, Slack), managing user access, permissions, and security protocols.

- Conduct quarterly audits of tools and systems, ensuring optimal performance and compliance.

- Coordinate quarterly IT training and lead the implementation and rollout of new IT tools (e.g., password management systems) to enhance productivity and security.


Strategic Projects 

- Lead and support special projects designed to improve business operations, knowledge management, and organizational processes.

- Collaborate across teams to identify operational challenges and implement scalable solutions.


Ad Hoc Support (as needed)

- Assist with event planning, travel arrangements, and other administrative tasks as required to support the business.


Education
  • Bachelor’s degree in Business Administration, Operations Management, Social Sciences, IT Systems, or a related field.


Experience
  • Minimum 2 years of experience in business operations, administrative support, project coordination, or a related role, preferably in a fast-paced startup or global organization.
  • Experience working in a remote-first or global environment is a plus.
  • Familiar with tools like Google Workspace, Slack, and Linear; experience with knowledge management systems is a plus.
  • Proven ability to manage multiple priorities, meet deadlines, and thrive in a fast-paced environment.
