Executive Assistant - Interior Design

Job Description

We are seeking a highly organized and proactive Executive Assistant to support our Vice Presidents in the execution of their duties through comprehensive administrative support, coordination, and management of various tasks. The ideal candidate will have exceptional communication skills, a keen eye for detail, and the ability to manage multiple tasks efficiently for multiple VPs. This role requires a professional who can anticipate the needs of the VPs and provide seamless support to ensure the smooth operation of the interior design department. This position requires a comprehensive understanding of WDD’s current and past portfolio of design work, techniques, tools, principles, and history.

WDD team members are required on a continual basis to:

Contribute to a safe work environment through compliance with established safety guidelines, identifying potential safety hazards, and reporting the same to the appropriate person for proper resolution.

Maintain a professional and ethical departmental, company and community reputation and comply with the Company’s policies and procedures.

At all times, demonstrate integrity and honesty in recording all work and project time.

Demonstrates the expected behaviors and upholds the established values of Wynn Resorts.

Essential Duties and Responsibilities include the following:

  • Provide comprehensive administrative support to the Interior Design VPs, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Manage staffing calendars, expense reports, travel requests, and timesheets for the interior design team.
  • Prepare and edit correspondence, reports, and presentations with a high level of accuracy, attention to detail and organizational competency.
  • Conduct research and compile information for various interior design projects and initiatives.
  • Assist in the planning and execution of company events and meetings related to the interior design department.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Liaise with clients, vendors, and other stakeholders on behalf of the Interior Design VPs.
  • Manage and pre-review all new recruitment candidates, including first-day activities with all new hires in the interior design department.
  • Assist all Interior Design VPs in the creation of requests for proposals, change orders, and additional service requests.
  • Manage and prioritize incoming communications, including emails and phone calls.
  • Perform other duties as assigned to support the Interior Design VPs and business operations.

  • Organizational skills are paramount, as the role involves managing multiple tasks and projects simultaneously. Keeping track of deadlines, prioritizing tasks, and maintaining an organized workspace contribute significantly to efficiency and success.
  • Attention to detail is essential for accurate preparation and editing of documents, reports, and presentations. A meticulous approach helps avoid errors and maintains the high standard of work expected in this role.
  • Discretion and confidentiality are critical when handling sensitive information. Trustworthiness in managing delicate matters is vital to maintaining the integrity and reputation of the interior design department.
  • Collaboration and teamwork are required to assist the Interior Design VPs effectively. Working well with others and contributing to team efforts amplifies overall productivity and fosters a supportive work environment.

Qualifications

  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Proven experience as an Executive Assistant or in a similar role, preferably in the interior design industry.
  • Executive ready with excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
  • Strong problem-solving skills and attention to detail.
  • Ability to organize and prioritize work.
  • Maintain a high level of confidentiality and discretion.

Preferred Skills:

  • Familiarity with interior design terminology and industry practices.
  • Experience with project management software and tools.
  • Ability to adapt to a fast-paced and dynamic work environment.

Work Environment: The work environment characteristics described here are representative of those an individual encounters while performing the essential functions of this job.

The noise level in the work environment is usually moderate. Due to changes within the design and development process and the nature of the design industry, individuals must be able to work varying schedules to reflect the business needs of the company. Our work spans international time zones, and work schedules may vary to support the VPs in timely responses and deliverables.

This position is required to be performed within the office, with no option for remote work. The candidate must be physically present to ensure seamless communication and coordination with the VPs and with external clients.
