About the Role:
We are seeking a proactive and detail-oriented Executive Assistant to support our Managing Director. This role is not a conventional assistant position; it requires someone with exceptional follow-up skills, strong organizational capabilities, and a willingness to take initiative. We aim to find someone who thrives in a fast-paced environment and can handle both professional and personal tasks with discretion and efficiency.
Key Responsibilities:
- Act as the primary point of contact for the Managing Director.
- Manage daily schedules, appointments, and correspondence.
- Follow up on tasks and ensure timely completion of all assignments.
- Coordinate with internal and external stakeholders for meetings and deliverables.
- Maintain records, prepare reports, and handle confidential information with integrity.
- Assist with personal tasks, errands, and other responsibilities as required.
- Draft official letters, emails, and documents with great attention to detail.
- Perform administrative tasks, including organizing files and managing databases.
- Use Microsoft Office tools like Excel, Word, and PowerPoint effectively.
- Handle minor office coordination duties and ensure smooth workflow.
Key Requirements:
Work Experience:
- 3–5 years as an assistant or secretary to senior management, ideally to the MD/CEO.
- Experience as an office coordinator with admin responsibilities is also acceptable.
Education:
- Graduation from a secretarial college or equivalent training.
Skills:
- Essential: Exceptional follow-up skills.
- Proficient in MS Office, especially Excel and Word.
- Knowledge of shorthand is a plus.
- Effective at multitasking and prioritization.
- Ability to handle Google searches and internet-based research.
- Strong written and spoken English.
Preferred Skills:
- Strong written and spoken English.
- Honest, dependable, and open to handling personal tasks for the Managing Director.
- Stable work history with minimal job-hopping. (If possible, please provide contact details of recommenders.
