Purpose of the Position:

The People Operations Specialist provides administrative services to the People Operations Business Partner (PBP) team.  The role will support a variety of projects by preparing documents, reviewing and verifying data or reports, and coordinating logistics and meeting materials.  The role will update or coordinate team member data entry into HR systems, provide administrative support for creation of job descriptions, people movement requests, and related activities. The role will also serve as back-up for People Operations Coordinators, responding to team member requests and inquiries.

This position will demonstrate professionalism and discretion to contribute to a high-functioning, caring work culture.  The role will maintain effective relationships within the department, and across the organization, to ensure stakeholder engagement for talent initiatives, activities, and requests.

What you’ll do:

  1. Support Business Partner Administrative Needs: Provide a variety of administrative services to PBPs, including but not limited to, preparing documents to support team member internal moves, creating and filing job descriptions, and ensuring appropriate files and data are documented in HR information systems. Compile data or information related to performance management, team member engagement, and related activities. Create or modify presentation materials for PBP facilitation.  
  2. Support People Movement Process: Assist PBPs with people movement requests, reviewing pending actions, and coordinating completion of timely approvals with stakeholders within the department and across the organization.  Review trends in requests and related processes and recommend enhancements.
  3. Maintain Knowledgebase for Business Partners: Ensure documents, files, and processes are maintained for Business Partner access and use.  Recommend solutions to ensure effective use of consistent use of tools and resources (to include talent management solutions, practices, and SOPs related to effective HR consultation).  Maintain library of P&C communications.
  4. Support PBP Talent Management Activities: As assigned, provide PBP support on various activities related to talent management, including but not limited to, strategic workforce planning, career pathing, succession planning, organizational realignments, change management, etc.
  5. Maintain People Operations Reports and Dashboards: Partner with data analytics practitioners across the organization to share PBP data and reporting needs, and work with People Systems to review data for integrity and quality.  Teams.  Partner with appropriate stakeholders to acquire ad-hoc and regular reports to support PBP initiatives.
  6. Coordinate Continuous Improvement Efforts: Work with stakeholders across the department to initiate continuous improvement activities related to P&C service delivery and team member experience. Identify areas of opportunity where automation, or systemic solutions may enhance team member and leadership self-service efforts.
  7. Support P&C Inbox Management: Serve as backup to People Operations Coordinators to ensure effective inbox management, resolve routine team member inquiries, and escalate more complex requests to appropriate subject matter experts across the P&C team.  Review data on frequently requested services and suggest process improvement, communications, and potential automation solutions.
  8. Support People Operations Administration: Serve as backup to People Operations Coordinators on administrative activities, to include documenting changes to team member records corrective action reports, and documenting people movement for roles covered under Title IV.
  9. Perform other duties as assigned.

Required Skills/Experience:

  • Associate degree, or equivalent combination of education and experience.
  • 4+ years of experience in Human Resources.
  • Ability to interact professionally with all team members, leaders, vendors, and related stakeholders.
  • Strong time management, task management, and organizational skills.
  • Ability to effectively manage multiple, competing priorities.
  • Knowledge of and adherence to applicable regulations and other compliance requirements.
  • Ability to professionally communicate fluently in verbal and written English.
  • Supportive of a diverse and inclusive work environment.
  • Computer literacy/basic computer skills to effectively navigate and utilize the technology required for the role.

Preferred Requirements:

  • HR certification (e.g., SHRM-CP, PHR)
  • Experience gained from specific Human Resources centers of excellence (e.g., Talent Acquisition, Benefits, Compensation, or Employee Relations.
  • Ability to guide employees to appropriate self-service tools across UMA Hub and various resources.
  • Experience collaborating across P&C functional areas.
  • Proficient in MS Office (Word, Excel, PowerPoint) and other business tools such as Microsoft Teams

Compliance: 

  • Demonstrate knowledge of, and carefully follows all applicable state laws and rules, federal and state compliance requirements and regulations including those prescribed by the U.S. Department of Education, accrediting agencies, state regulations and internal policies and procedures.  
  • Effectively communicate compliance requirements to other staff as appropriate and quickly escalate any compliance concerns to the Compliance department. 

Work Environment/Physical Demands:

  • This is a full-time remote position.
  • Home office set up, quiet place to work, and ability to hard wire into high-speed internet connection.
  • May require setup of computer equipment; accommodation consideration available upon request.
  • Flexibility to work evenings and weekends, as needed.

Anticipated starting salary is based on experience and qualifications.

Compensation Range
$65,000$70,000 USD
