People, IT & Facilities Coordinator

The People, IT & Facilities Coordinator is responsible for ensuring a seamless onboarding experience for new hires, providing first-level IT support, and maintaining efficient office operations. This role bridges HR, IT, and office administration, ensuring that employees have the tools, access, and environment they need to perform effectively.

Key Responsibilities:

  • Onboarding & Employee Support (HR Focus)
  1. Manage the end-to-end onboarding process, ensuring a smooth new hire experience.
  2. Coordinate new hire orientation, IT setup, and workspace arrangements.
  3. Maintain employee records, ID issuance, and system access credentials.
  4. Assist in HR documentation and compliance processes.
  • IT Helpdesk & Technology Support
  1. Act as the first point of contact for basic IT troubleshooting (internet, hardware, software, email, drive access, etc.).
  2. Coordinate with IT vendors for system installations, repairs, and upgrades.
  3. Manage IT asset inventory (laptops, peripherals, software licenses).
  4. Support employees with office tools like Microsoft Office, Google Suite, VPN access, etc.
  • Facilities & Office Operations
  1. Oversee office maintenance, supplies inventory, and vendor coordination.
  2. Manage seating arrangements and workspace optimization for hybrid teams.
  3. Assist in maintaining security systems (CCTV, access control, and visitor logs).
  4. Ensure office equipment is functional and liaise with vendors for repairs.
  • 3+ years of experience in HR, IT support, or office administration.
  • Tech-savvy with experience in IT troubleshooting and asset management.
  • Strong organizational skills for office inventory and facilities management.
  • Great interpersonal skills to support new hires and employees.
  • Experience in a hybrid workplace setup is a plus.
