SketchDeck is a global, fully remote creative agency that thrives on exceptional talent and seamless operations. As our Talent Operations Manager, you will play a critical role in ensuring that our hiring, onboarding, and talent relationship management processes are high-touch, efficient, and aligned with our business needs. You will oversee HQ and contractor hiring, onboarding, and engagement, ensuring that new hires—whether full-time employees or contractors—have a seamless, supportive experience from the start.
This role requires proficiency in both written and spoken English and Spanish, along with a deep understanding of the creative industry and agency experience so you can build strong relationships across teams, manage talent operations with precision, and ensure that our contractor community stays engaged and actively contributes to SketchDeck’s success. This role reports to the Business Operations Director.
WHAT SUCCESS LOOKS LIKE:
Optimized Talent & Project Alignment - You ensure that the right talent is placed on the right projects, balancing individual contractor preferences and availability with business needs. You work closely with project managers and design directors to fill talent gaps and ensure projects are staffed with skilled creatives who align with client expectations. At the same time, you help contractors secure projects that match their skills, interests, and availability, ensuring they have steady work opportunities.

Seamless Hiring & Onboarding - You facilitate an efficient hiring and onboarding process through clear communication, working closely with 24 Seven recruiters as the main point of contact to ensure qualified candidates progress through the pipeline, have a positive experience, and transition smoothly into their roles. Leadership receives weekly pipeline updates to stay informed.

Engaged and Supported Talent Community – You build strong relationships with HQ employees and contractors, keeping talent engaged, ensuring contractor profiles stay current, and providing visibility into work opportunities. You take a strategic lead in maintaining contractor engagement while collaborating with the Community Manager, whose initiatives also contribute to overall success. Continuous feedback from new hires, hiring managers, and contractors drives hiring, onboarding, and retention improvements.

WHAT YOU’LL DO:
Hiring & Talent Acquisition
- Manage the applicant experience, ensuring clear communication, timely updates, and smooth progression through the hiring pipeline.
- Oversee HQ and contractor hiring, keeping the ATS (Workable) updated, tracking approvals, and ensuring roles are filled efficiently.
- Support hiring managers in writing inclusive job descriptions aligned with SketchDeck’s employer brand and role requirements.
- Partner with 24 Seven recruiters to ensure alignment, smooth collaboration, and a strong candidate experience.
- Participate in resume reviews and interviews, ensuring candidates meet job requirements and hiring quality is maintained.
- Monitor key hiring metrics and ensure SketchDeck’s hiring process is equitable and inclusive.
- Provide weekly hiring reports to hiring managers on open roles, progress, and flag issues.
- Continuously review and improve hiring processes for efficiency, effectiveness, and alignment with business goals.
- Train HQ team members on hiring best practices and processes to ensure consistency and fairness in recruitment.
Onboarding & Integration
- Own the new hire journey for HQ employees and contractors, providing high-touch support from pre-boarding through post-onboarding check-ins to ensure a smooth transition.
- Collaborate with hiring managers and department leads to complete all onboarding tasks and fully integrate new hires.
- Support the onboarding and resource integration of 24 Studios and future acquisitions, ensuring smooth cultural and operational alignment.
- Proactively connect contractors with project managers, design directors, and relevant teams to facilitate project opportunities.
- Ensure Express work contractors are correctly onboarded and transitioned to active status when applicable.
- Maintain a higher touchpoint with all new hires, making onboarding an engaging and supportive experience.
- Continuously improve onboarding by gathering and acting on feedback from new hires and hiring managers.
- Work with the Human Resource Coordinator to keep onboarding process documentation accurate and up to date.
Talent Relationship & Resource Management
- Build and maintain strong relationships with contractors to ensure they feel valued and connected.
- Partner with project managers, design directors, and business development to stay aligned on evolving talent needs and upcoming opportunities.
- Regularly check in with contractors, gauge their interest in ongoing projects, address concerns, and ensure talent doesn't go overlooked after onboarding.
- Collaborate closely with project managers and design directors to optimize project assignments, ensuring a balance between business needs and contractor preferences.
- Maintain and update the agency directory and talent dashboard. Coordinate an annual contractor profile review and an audit with project managers and design directors to verify that all information is correct.
- Collaborate with the tech team to implement agency directory updates and suggest skills and tools that should be revised as our capabilities grow.
- Support the Community Manager and Director of Business Operations in talent management efforts as needed.
Offboarding
- Oversee and execute offboarding processes for employees and contractors, ensuring compliance and completing necessary steps.
- Ensure departing employees and contractors receive clear guidance and a smooth transition.
WHAT YOU BRING TO THE TABLE:
- Proficient in English and Spanish (both written and spoken) to assist with global hiring, onboarding, and talent operations.
- Deep expertise in the creative industry, a strong understanding of creative roles and workflows, and the ability to assess and align talent with project needs.
- Experience in an agency setting, whether in talent operations, HR, or a prior creative role that shifted to an operations-focused position.
- Demonstrated expertise in managing hiring, onboarding, and talent engagement, ensuring smooth candidate experiences, seamless integration, and continuous visibility for contractors.
- Strong talent management skills, including monitoring contractor availability, proactively aligning talent with projects, and maintaining engagement with active and bench contractors.
- The ability to enhance and develop hiring and onboarding processes, ensuring they are efficient, well-documented, and communicated to teams so that new hires integrate smoothly.
- A proactive, strategic mindset—you don’t just identify problems. You propose solutions, suggest the next steps, and take initiative to solve challenges before they escalate.
- Autonomous yet highly collaborative, capable of independently driving hiring, onboarding, and talent management while effectively partnering with leadership, hiring managers, and recruiters.
