Job Overview
Join a fast-growing, design-led UK property development firm as an Executive Assistant (Part-Time) and play a critical role in supporting the founder and senior team. This is an exciting opportunity to become the organisational heartbeat of a high-end residential developer known for its thoughtful design and unique projects, including listed building conversions and boutique housing developments.
You’ll work closely with the founder (based in New Zealand) and a UK-based team member, acting as a strategic EA, inbox gatekeeper, and property admin all-rounder. This role is ideal for a highly organised, proactive, and experienced EA who thrives in a dynamic entrepreneurial environment, has property experience, and loves keeping things on track behind the scenes.
Part-Time: Approximately 20 hours per week
Monthly Salary: R14,000 (ZAR)
Key Responsibilities
- Inbox & Diary Management
- Prioritise and manage the founder’s inbox, filtering urgent actions and highlighting critical items.
- Maintain and coordinate calendars across time zones (NZ & UK).
- Ensure follow-ups, reminders, and flagging of overlooked tasks are handled seamlessly.
- Property Administration
- Track and chase signatures, documents, and legal paperwork related to planning, conveyancing, insurance, and compliance.
- Liaise with agents, solicitors, and joint venture partners.
- Monitor and filter shared inboxes for incoming deals and development opportunities, presenting only high-potential options.
- Project Support
- Support project delivery with document collation, coordination, and deadline tracking.
- Use Monday.com to keep internal systems up to date and assist external collaborators in navigating the platform.
- Research tasks such as sourcing local suppliers (e.g., interior designers) and compiling shortlist recommendations.
- General Executive Support
- Handle a variety of ad hoc business and personal admin tasks.
- Help prepare summary briefs for meetings and identify key actions.
- Act as the connector between the UK and NZ team, ensuring nothing falls through the cracks.
- Minimum 3 years of experience as a high-level Executive Assistant, ideally supporting entrepreneurs or small business owners.
- Proven background in property development, architecture, or construction support roles.
- Familiarity with UK planning, property compliance, and development documentation.
- Comfortable using tools like Monday.com, Google Workspace, Zoom, and other remote collaboration tools.
- A proactive mindset with excellent organisational skills and an ability to think two steps ahead.
- Must have access to a laptop, reliable internet, and a quiet professional work environment.
