The expected ENTRY pay range for this position based on experience and equity within the Judicial Branch is $20.21 to $22.06.

This position is non-exempt under the FLSA.

About the Position

The Human Resources Customer Service Specialist is the department’s administrative guru. This position supports the Judicial Branch Human Resources department in the areas of data entry, filing, file maintenance, front desk management, preparing confidential documents, and setting appointments. The successful candidate is self-motivated, has excellent attention to detail, and can multitask consistently throughout the workday.

This position is an excellent opportunity for anyone wishing to enter the Human Resources field. Promotional opportunities within the department are available.

Position Qualifications

Education:
• High school diploma or GED

Experience:
• Two (2) years of work experience performing office, clerical, or administrative duties in an office environment

OR

Combined Education and Experience Qualifications:
• A combination of post-secondary education and work-related experience may substitute on a year-for-year basis

Our Preferred Candidate Has:
• One (1) year or more of customer service in a legal or large corporate environment

Knowledge, Skills, and Abilities:

Knowledge of:
• Customer service principles.
• Office practices, procedures, and processes.
• Microsoft Office Suite, e.g., Outlook, Excel, Word, and PowerPoint.

Skill in:
• Operating various office equipment and machines.
• Communicating effectively; both verbally and in writing.
• Using critical thinking skills to perform work functions accurately and professionally.

Ability to:
• Plan, organize, and maintain workflow.
• Work independently and/or as part of a team.
• Exercise discretion in handling and working with sensitive and/or confidential information.
• Establish and maintain effective working relationships.
• Use effective time management skills to handle multiple tasks at one time.
• Excel in a high volume and time sensitive work environment.
• Problem-solve a variety of situations.

Essential Job Tasks

• Greets customers with a warm and professional demeanor, ensuring a welcoming experience.
• Answers telephone and provides accurate information and assistance.
• Maintain employee records ensuring accuracy and confidentiality.
• Maintain office organization, including filing and record-keeping of employment records and office supplies.
• Supports the HR department in distributing communications organization-wide.
• Performs data entry in HR systems and spreadsheets.
• Completes employment verifications.
• Collect mail and fingerprint cards, sort and distribute, along with any deliveries, to the appropriate recipients.
• Processes name changes for current employees.
• Manages the inventory of policy packets and hard-copy documents used for onboarding appointments.
• Coordinates to ensure the current version of mandatory posters are posted at all locations.
• Coordinates multilingual requests, including the testing process and the differential compensation.
• Completes special projects as assigned.

Working Conditions:

While performing the duties of this job, the employee may need to communicate clearly, perceive details of objects that are close by, and maintain various physical positions for extended periods, such as sitting, standing, walking, or bending. The job may involve using hands for tasks such as typing, handling objects, as well as reaching with hands and arms. Occasionally, the employee may be required to move or lift objects weighing up to 20 pounds.

Typically, successful candidates are hired at a salary rate up to the midpoint of the range, based on applicable experience, internal equity, and budgetary allowances.

The Judicial Branch of Arizona in Maricopa County participates in the State Retirement systems ASRS or PSPRS. As such, mandatory membership for all full-time employees includes payroll deducted contributions consistent with each retirement system’s requirements. The current contribution rate for ASRS is 12.27% and the current contribution rate for PSPRS is 5.84% and up for the defined contribution plan and 8.82% for the defined benefit plan.
