Description:
• Your Role: As an A dministrative Assistant , you’ll keep daily operations on track by:
• Sending building-wide memos and clear tenant updates.
• Coordinating smooth move-ins/outs, key turnovers, and access controls (keys, fobs, intercoms).
• Scheduling inspections and maintaining up-to-date maintenance and compliance calendars.
• Tracking appliance and supply inventory — ordering what’s needed, when it’s needed.
• Coordinating access for vendors and contractors for maintenance and repairs.
• Keeping ‘finishes’ spec-sheets organized for easy reference.
• Preparing and submitting rent reasonableness requests, lease renewals, and other compliance paperwork to NYC Agencies.
• Managing violation reviews, collecting backup documents, and preparing for hearings.
• Staying ahead of deadlines and following up until tasks are fully complete!
Requirements:
• 2 years in an administrative or office support role — experience in property management or real estate is a plus!
• Excellent attention to detail and time management skills.
• Clear, professional written and verbal communication.
• A proactive, solution-focused mindset — you’re not afraid to ask questions and solve problems.
• Comfort with standard office software (Google Workspace, Microsoft Office) and quick to learn new tools.
• Familiarity with property management software or tools is a big bonus.
