ON A TYPICAL DAY YOU’LL
- Serve as a first point of contact for People Operations inquiries; monitor emails, calls, and requests; facilitate timely responses, and ensure effective communication
- Support and execute various tasks related to HR processes and procedures such as benefits and perks administration, compensation, employment verifications, background checks, leaves of absence, and audits; ensuring compliance with Pilot’s policies and other regulations
- Execute administration of the full employee lifecycle in partnership with People Business Partners, including onboarding, performance management, goal-setting, career development and offboarding; ensuring a seamless transition and positive employee experience
- Support end-to-end recruitment efforts, including managing the applicant tracking system, uploading and reviewing resumes, coordinating and scheduling interviews, managing job postings, coordinating onsite interview logistics and hiring events, and ensuring an exceptional candidate experience
- Organize and maintain employee documentation and data throughout the employee lifecycle, including offer letters, new hire information, promotions, job change letters, wage notifications, separations, and audits; prepare reports and ensure data privacy and integrity
- Collaborate with team members to develop and distribute employee-facing communications, policies, procedures, and other documentation; ensure compliance with local, state, and other regulations
- Support employee engagement, culture, learning and development, and diversity and inclusion initiatives; plan and execute recognition of employee and company milestones, and support the planning and execution of company meetings and events
- Execute other administrative tasks such as budget and expense tracking, creating purchase requisitions, ordering business cards, and managing employee-facing swag and other materials
- Stay up-to-date with HR best practices and industry trends; contribute to the improvement of team processes to enhance efficiency and effectiveness
- Support facilities and office operations as required
- Provide administrative support to the CEO and Leadership team as assigned
WHAT WE’RE LOOKING FOR
- 1+ years People Operations/HR, administrative support or relevant experience, preferably within a dynamic workplace environment
- Strong interpersonal skills and passion for executing a best-in-class candidate and employee experience, and fostering a diverse and inclusive workplace culture
- Demonstrated commitment to quality execution with meticulous attention to detail and excellent organizational skills
- Exceptional communication and presentation skills, both written and verbal
- Excellent prioritization skills; ability to multitask and execute responsibilities in a timely manner
- High level of integrity and ability to exercise sound judgment and discretion; experience managing and maintaining confidentiality of highly sensitive data
- A proactive self-starter and team-oriented mindset, eager to take initiative and contribute to team success no matter the task
- Proficient in Google Suite, MS Office; familiarity with applicant tracking systems (ATS), and HRIS systems and HR platforms; able to quickly learn new tools and systems
- Willing to work up to five days a week in office as required and comfortable working outside traditional business hours on occasion to support meeting and event execution
- Ability to stand, reach, bend, stoop, push, pull, lift and carry up to 20 lbs; able to safely use carts, and other gear to transport items when needed
PILOT’S PAY & PERKS
- Base salary of $64,500 - $80,000
