Outsource Access is seeking a dedicated and proactive Real Estate Client Relations Specialist to elevate the quality of service we provide to our real estate clients. This dynamic role is essential in building strong client relationships and ensuring seamless experiences throughout the real estate journey, from initial inquiry to transaction completion.
As a Real Estate Client Relations Specialist, you will leverage your interpersonal skills, organizational abilities, and real estate knowledge to serve as a liaison between clients and our real estate team. Your responsibilities will include managing client communications, supporting listing inquiries, preparing essential documents, and coordinating property showings and open houses. With a focus on client satisfaction, you’ll also handle reporting and data management to provide insights into service delivery and client feedback.
Responsibilities
- Client Communication
- Act as the primary point of contact for clients, providing exceptional customer service via phone and email.
- Handle client inquiries promptly and professionally, ensuring their needs are met throughout the real estate process.
- Provide details on property listings, including features, availability, and other specifics, maintaining a positive and informative approach.
- Facilitate communication between clients and the real estate team, relaying feedback and necessary information.
- Coordination and Support
- Schedule property showings, open houses, and client meetings, ensuring efficiency and team availability.
- Assist clients with real estate documentation, paperwork, and transaction management tasks, supporting the team in ensuring timely follow-up.
- Create, proofread, and format documents and marketing materials related to property listings, ensuring professionalism and accuracy.
- Database and Record Management
- Maintain accurate and up-to-date client databases, recording all necessary information, interactions, and listing details.
- Utilize Microsoft Excel to track client interactions and data, monitoring and managing records for compliance with real estate regulations.
- Reporting and Analytics
- Prepare regular reports on client interactions, property showings, and transaction statuses for internal review, using Adobe tools, Microsoft Word, and Excel.
- Analyze client feedback and metrics to identify areas for improvement in service delivery, contributing to enhanced client satisfaction.
- Self-Directed Learning
- Stay updated on real estate trends and best practices, ensuring continuous improvement in client service and understanding of the industry.
- Bachelor's degree in Business Administration, Real Estate, or a related field preferred.
- At least 4 years of experience as a Virtual Assistant in client relations or a similar role, with a focus on real estate.
- Recent hands-on experience within the real estate industry is required.
- Proficiency in CRM software, Adobe, Microsoft Word, Excel, and the Microsoft Office Suite.
- Excellent communication and interpersonal skills, with a client-focused approach and a commitment to providing exceptional service.
- High level of accuracy in documentation and client communications.
- Exceptional written and spoken English skills for effective and professional communication.
- Proven experience managing multiple tasks, schedules, and priorities efficiently.
- Familiarity with industry standards and regulations is a plus.
