About the role

This Operations Coordinator role is a vital new addition to the team, supporting our exciting growth and ensuring the smooth flow of our products from supplier to our warehouse locations in the US and UK. 

You will report to the Operations Director and  play a key part in the operational process, working closely with our warehouse, 3PL partners, Buying and Merch teams, and Finance to keep everything on track from production to delivery. This role will be instrumental in managing the critical path of our goods, maintaining accurate data, and ensuring efficient and cost-effective delivery to both our warehouse and ultimately, our customers.

Key Responsibilities

  • Liaising with factories, suppliers and vendors to ensure critical path dates are met
  • Updating the critical path for every purchase order and tracking each step in collaboration with the buying team
  • Managing product and supplier data from point of production
  • Managing  shipments and all accompanying paperwork - Commercial invoices, packing lists, customs forms ensuring all customs requirements are met
  • Control budgets throughout the  delivery process through consolidation and costing 
  • Provide  frequent delivery forecasts for customers and our warehouse
  • Production Coordination  - coordinating all elements for a given ex factory date
  • Liaising with factories and suppliers to ensure critical path dates are met
  • Working with our own warehouse and 3PL provider to ensure product  deliveries are made following our processes and requirements.
  • Excellent organisation and problem solving skills, meticulous attention to detail and able to work to strict deadlines
  • Confident, proactive and collaborative approach to working with supplier and colleagues
  • Able to build strong working  relationships external partners
  • Strong numerical skills
  • Analytical mind, able to define problems, collect data, establish facts and draw valid conclusions
  • Excellent speaking and written communication skills
  • Proficient in Microsoft office and Google Business applications
  • Experience with US customs a bonus
  • 2-3 years experience in a similar role
