Summary
MediShout is a unique and fast-growing startup that digitises operational pathways in healthcare so staff can deliver best patient care. Our App is the first in healthcare for staff to report and resolve any non-clinical issue that delays them (e.g. faulty IT, broken equipment, missing stock, estates issues) whilst AI-analytics predict issues in advance. Our main customers are healthcare suppliers; medical device companies with billions in revenue and global facilities management companies. MediShout is entering an exciting growth phase and seeking a Process Automation Specialist to support our rapid scaling by modelling, configuring, and testing digital workflows within our platform. This role is ideal for someone with strong logical thinking, technical understanding, and a passion for improving operational efficiency through automation. You will work closely with the Product, Engineering, and Customer Success teams to translate conceptual workflows into functioning digital processes.

The Job Role

You will work within the Product team and report to the Product Experience Manager, collaborating closely with Engineering, Customer Success, and Implementation teams. Your primary goal is to ensure that our digital workflows are effectively modelled, configured, and optimised to support our rapid scaling and enhance operational efficiencies in healthcare.

You will be responsible for translating conceptual workflows into structured automation logic within the MediShout platform, ensuring they align with product capabilities and user needs. This will involve modelling workflow structures in Miro, defining automation logic, and working with JSON configurations to build forms and automated processes. You will play a key role in refining technical workflow requirements, identifying gaps, and supporting seamless integration with APIs and system functionalities. You will also work with the Engineering team to extend workflow-related functionality to meet project requirements where needed.

You will also contribute to workflow testing and validation, ensuring robust execution of automation logic. Supporting the Customer Success team, you will help troubleshoot workflow-related issues, refine configurations, and ensure optimal digital adoption by end users. Your expertise will drive the continuous improvement of workflow automation, ensuring MediShout remains a scalable and adaptable solution for healthcare providers and suppliers.

Responsibilities

  • Workflow Modelling & Automation
    • Translate high-level workflows designs into detailed structured flow diagrams using Miro, ensuring clarity for both internal teams and external stakeholders.
    • Support other members of the Product team in presenting the detailed structured flow diagrams for pre-build sign-off.
    • Learn Medishout’s bespoke configuration standard for automations and forms, written in JSON. There is good documentation coverage but the standard is constantly evolving.
    • Define and implement automation logic, including rule-based triggers, conditions, and escalations.
    • Configure forms and form-logic and create workflow-related objects to fully construct entire workflows that streamline operational processes in healthcare.
    • Test newly built workflows prior to implementation within hospitals, ensuring workflows align with product capabilities, client needs, and scalability requirements.
    • Proactively identify opportunities for workflow optimisation and automation to improve efficiency.
    • Conduct regular audits of automated workflows to maintain accuracy and effectiveness.
    • Work with the Business Development Team to ensure a good repository of highly relevant and fully functional workflow demonstrations are maintained, accessible and ready to go at all times.
  • Integration & API Interaction of your Workflows
    • Work with APIs to integrate MediShout’s automation logic layer with third-party healthcare systems and supplier platforms.
    • Test API interactions using tools like Postman to validate automation processes and troubleshoot integration issues.
    • Collaborate with engineers to refine API capabilities for inbound integrations that will consume the MediShout API.
  • Quality Assurance & Testing of your Workflows
    • Support user acceptance testing (UAT) in collaboration with internal teams and external users.
    • Identify and escalate bugs, inconsistencies, or gaps in automation processes, working closely with the Engineering team to resolve issues.
    • Monitor production workflow logs for errors and performance issues, implementing improvements where needed.
  • Collaboration & Stakeholder Engagement
    • Work closely with Product Managers and UX designers to refine automation requirements and prioritise workflow enhancements.
    • Collaborate with the Engineering team to translate workflow requirements into technical implementations.
    • Support the Customer Success team in troubleshooting and resolving workflow-related issues reported by end users.
    • Participate in cross-functional meetings to align workflow automation with business goals and customer needs.
  • Documentation & Knowledge Sharing
    • Maintain comprehensive documentation of workflow models, automation logic, and configuration details.
    • Create and update internal knowledge bases, ensuring teams can easily access and understand workflow structures.
    • Provide training and guidance to internal teams on workflow modelling best practices and automation capabilities.
    • Contribute to user guides and support materials to assist customers in understanding and interacting with automated workflows.

Experience & Qualifications

  • Experience in workflow modelling, process automation, or working with SaaS products in workflow automation.
  • A working knowledge of the process automation concepts used in software like JIRA, Microsoft Power Automate, Workato, Zapier, Make, SAP and Salesforce.
  • Ability to translate business processes into structured automation models using tools such as Miro.
  • Strong logical thinking and problem-solving skills.
  • Experience writing JSON for in-depth configuration of no-code and low-code platforms.
  • Understanding of APIs and experience testing them using Postman.
  • Excellent communication skills and ability to work cross-functionally.
  • Language Skills: Excellent written and spoken English.

Salary, Benefits and Specifics

  • £50-60k (depending on experience) with annual salary reviews

  • This is a remote role but you are required to be living in the UK and have a dedicated workspace in order to fulfil your duties (You will occasionally be required to travel to the London office with advance notice).
