PE Portfolio Executive Assistant #1508

We are seeking an Executive Assistant for the Founder of our investment company, which manages diverse investments across multiple industries. This role requires a professional, adaptable candidate who can maintain confidentiality and thrive in a dynamic, high-pressure environment. Exceptional organizational skills are essential to support both the professional and personal needs of the founder.

Key Responsibilities

  • Manage complex calendars, prioritizing tasks across multiple businesses
  • Coordinate meetings and travel with attention to detail
  • Prepare briefing materials and provide daily updates
  • Manage communications with stakeholders
  • Maintain multiple email accounts and calendars
  • Organize board meetings and investor communications
  • Process expense reports and documentation
  • Collaborate with business partners and executives
  • Handle sensitive information discreetly
  • Coordinate staff activities and follow up on directives
  • Manage personal affairs, including property coordination
  • Arrange personal travel, dining, and entertainment
  • Handle personal correspondence and appointments
  • Anticipate needs and proactively solve problems
  • 7 to 10 years of experience as an executive assistant supporting C-level executives or affluent individuals
  • Previous experience in private equity, family offices, or investment-related environments
  • Experience in providing support to executives with diverse business interests
  • Demonstrated ability to handle multiple priorities in fast-paced settings
  • Outstanding written and verbal communication abilities
  • High level of proficiency in Microsoft Office and digital communication tools
  • Proven discretion in managing confidential information
  • Ability to swiftly adapt to shifting priorities and requirements
  • Meticulous attention to detail and commitment to follow-through
  • Requires semi-permanent relocation between Boston and Florida
  • Standard business hours with potential early morning, evening and weekend availability
  • Work on-site five days each week

  • Attractive salary range between $150,000 and $170,000
