KA Real Estate is looking to recruit an Executive Assistant who can maintain a high level of confidentiality along with the ability to handle heavy calendar management. This role will report to the Head of Investor Relations, Susie Moore.

General Position Responsibilities: 

  • Maintain and manage leaders' calendars via Outlook.
  • Book and organize conference room availability, including managing catering for in-office investor meetings.
  • Coordinate travel for team members and organize calendar to reflect flights, hotels, car services, etc.
  • Manage and submit expenses and expense reports through Concur for leaders.
  • Assist in printing and preparing materials for office presentations, investor meetings, and conferences.
  • Provide high-touch service in response to leadership requests and business unit needs.
  • Maintain the cadence of regularly occurring meetings and prepare for investor meetings by reviewing upcoming calendar and ensuring materials and catering are scheduled in advance.
  • Assisting with overall support of company events, team building activities, business meetings, celebrations, and special projects as may be requested.
  • Providing additional support and assistance where needed.

Qualifications and Skills

  • Knowledge of Concur preferred
  • Basic Microsoft Outlook, Word, and Excel skills
  • Ability to effectively work under tight deadlines and manage projects independently
  • Strong attention to detail and organizational skills
  • Ability to multi-task projects
