We are looking for an experienced Executive Assistant to support the company’s General Manager and Editor-in-Chief in our New York office. The ideal candidate should be service-oriented, self-starting, responsible go-getter with an enthusiastic attitude.
YOUR MISSION:
- Managing the daily calendar for C-level management, showing flexibility and problem-solving abilities to adjust or prioritize schedules based to last-minute changes
- Organizing complex, domestic and international travel arrangements including passport/visa requirements and expense reporting
- Works collaboratively with administrative staff across multiple offices
- Organizing and supporting meetings, teleconferences, off sites, and other events
- Providing strategic administrative & project management support
- Ensuring that the GM and and Editor-in-Chief are well prepared & organized for all meetings, events & speaking arrangements; Provide support with the preparation of materials & information
- Driving key team activities (such as staff meeting agendas and minutes, all-hands meetings etc.)
- Prepare expense reports
- Smartly manage phone calls and inbox
- Act as first point of contact and gate-keeper, answering inquiries and handling correspondence via email
- Be an eye and ear to the needs of the team; acting as a liaison for direct reports
YOUR SKILLS:
- 2+ years experience as an executive administrative assistant in a hyper growth environment
- Highly motivated and must enjoy fast-paced environment
- High level of integrity and discretion in handling confidential information, and professionalism in dealing with clients and execs
- Exceptional verbal and written communication
- Strong relationship builder with internal and external stakeholders. Ability to interact with all levels and functions in the organization
- Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint or Access and other web-based applications
- Extremely organized
- Ability to prioritize workload proactively and expeditiously with the ability to pivot at a moment’s notice
- Detail-oriented and highly organized with a strong bias to action & a can-do-attitude
- Proven creative problem solving history, ability to work well collaboratively and under pressure
- Positive, proactive, and able to have fun at work and help others do the same
- Able to handle administrative details independently, while keeping team members appropriately informed or engaged
- Confident and thoughtful in applying sound business judgment
- Strong presentation skills

The expected annual base salary range for this role is between $60,000 to $70,000. The range is based on many factors including location, experience, and relevant skill set. In addition to salary and an employee benefits package, successful candidates will be eligible for variable pay.
