Virtual Assistant

This multifaceted role requires a highly organized and tech-savvy individual to manage scheduling, communications, and customer interactions while maintaining a strong online presence. Responsibilities include efficient time management, clear communication across email and social media, CRM management, social media posting and engagement, and providing excellent customer service.

Responsibilities:

  • Scheduling Calls: Organize and manage appointments, ensuring seamless coordination of meetings and calls.
  • Replying to Emails: Promptly respond to emails, ensuring professional and timely communication with clients and stakeholders.
  • Booking Appointments: Efficiently handle appointment scheduling, confirmations, and reminders through email correspondence.
  • Updating CRM: Add and update client and lead information into the CRM, maintaining accurate and up-to-date records.
  • Social media Posting: Create and schedule engaging social media posts across platforms to maintain an active online presence.
  • Engaging with Social media Community: Interact with followers, responding to comments and messages to foster positive community engagement.
  • Adding New Connections: Identify and add potential new connections to relevant social media platforms, growing the network.
  • Daily Interaction with New Connections: Build relationships by actively engaging with new connections every day to strengthen networks and foster professional growth.
  • Time Management: Efficiently schedule and prioritize tasks, ensuring deadlines are met.
  • Clear Communication: Strong written and verbal communication skills, including professional email correspondence and social media interaction.
  • CRM Management: Familiarity with CRM system to update and maintain client and lead information.
  • Social Media Management: Experience in creating and scheduling posts across social media platforms (e.g., Facebook, Instagram, LinkedIn, Twitter).
  • Social Media Engagement: Ability to interact with and respond to social media communities, building relationships and encouraging engagement.
  • Attention to Detail: Precision in booking appointments, responding to emails, and managing CRM data.
  • Adaptability: Ability to learn new tools and platforms quickly and stay updated with new social media trends and tools.
  • Multitasking: Capable of managing multiple tasks and responsibilities simultaneously without compromising quality.
  • Customer Service: Providing excellent support and communication, ensuring clients and contacts have positive experiences.
  • Tech Savvy: Proficient in using office software (e.g., Google Suite, Microsoft Office), CRM systems, and social media tools.

KPIs

  • Prepare and manage paperwork for applications, renewals and policy change - Weekly.
  • Help clients complete forms or gather necessary documents - Weekly.
  • Book a review meeting with the clients - Weekly.
  • Send birthday wishes to the client on their birthdays - Monthly.

Schedule: 10 hours a week. Schedule to be determined PST Timezone.
