To complete our creative and dynamic team in Denver, CO, we are seeking a:

Administrative Assistant (80-100%)
Start date: As soon as possible

Your role:
Your mission is to ensure efficient sales order processing, maintain accurate records, and support the sales team in delivering an outstanding customer experience. You will handle order management, invoicing, partner data, and customer onboarding while assisting with accounting activities to ensure smooth financial operations. Additionally, you will oversee office management, shipping logistics, and administrative tasks.

Working closely with internal teams, you will ensure timely order execution, resolve administrative issues, manage customer interactions, and contribute to process improvements. You will coordinate logistics, maintain inventory records, handle returns, and ensure compliance with shipping regulations. Office-related tasks include maintaining supplies, coordinating travel, supporting HR onboarding, and managing vendor relationships.

What you will own:

• Process sales orders, invoices, and third-party software transactions while ensuring data accuracy across systems (Salesforce, Odoo, QuickBooks)
• Manage accounts receivable tasks, including payment tracking and reminders
• Maintain accurate partner and product data within internal systems
• Provide administrative and operational support to the sales team
• Assist in bookkeeping tasks, including supplier onboarding, invoices, employee expenses, and salary documentation
• Oversee office operations, including facilities management, supply procurement, and assist with company events
• Manage shipping and receiving processes, including tracking shipments, handling customer returns and maintaining inventory records
• Assist the team on operational tasks as needed

Your profile:

• 5+ years in sales administration, order processing, or related role
• Experience in bookkeeping is a must
• Experience in office management and logistics coordination is an asset
• Proficiency in Salesforce, Odoo, and QuickBooks (or similar CRM/ERP systems) is an asset
• Strong organizational and problem-solving skills, with attention to detail
• Ability to multitask and collaborate across teams in a fast-paced environment
• Driving license
• Ability to work in the United States
• Ability to load, unload, set up equipment weighing up to 30kg
