Executive Assistant - On-Site

We are seeking a highly organized, proactive, and dynamic Executive Assistant to support senior leadership in a fast-paced, growing start-up environment. The ideal candidate will possess excellent communication and administrative skills and have the ability to juggle multiple tasks with a high level of attention to detail. This role offers an exciting opportunity to make a meaningful impact and contribute to the success of a rapidly expanding company.

Key Responsibilities:

  1. Executive Support:
    • Manage the executive's calendar, scheduling meetings, appointments, and travel arrangements.
    • Screen and prioritize incoming calls, emails, and correspondence.
    • Prepare and organize documents, reports, and presentations for meetings and presentations.
    • Assist with day-to-day administrative duties and any ad-hoc tasks required by the executive team.
  2. Project Coordination:
    • Assist with creating, updating, and maintaining project timelines, budgets, and resource allocation plans.
    • Coordinate and monitor the status of key projects and ensure that all deliverables are met within established timelines.
    • Organize meetings with key partners, ensuring all necessary agendas and materials are prepared in advance.
  3. Administrative Support:
    • Maintain an organized filing system for both physical and digital documents
    • Assist with the preparation and submission of bids, contracts, and other necessary paperwork in accordance with the company's policies and standards.
    • Oversee office operations, including ordering supplies, managing office logistics, and ensuring a smooth workflow for the executive team.
    • Track expenses for the executive team.
  4. Client and Stakeholder Communication:
    • Communicate regularly with clients, subcontractors, suppliers, and partners to ensure smooth operations.
    • Prepare client-facing communications and ensure that the information shared is timely, clear, and professional.
  5. Ad-Hoc Tasks:
    • Take on additional responsibilities as needed, including assisting with recruitment efforts, company events, or other business development projects.
    • Provide general office management, including coordinating office events, supplies, and maintaining a professional office environment.

Qualifications:

  • Bachelor’s degree in business, or a related field.
  • 7+ years of experience as an executive assistant or administrative support role, with experience in the construction industry or a related field.
  • Basic understanding of construction terminology, project management principles, and industry best practices.
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to work independently and handle multiple priorities in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), and project management tools such as Trello, Asana, or similar platforms.
  • Ability to maintain discretion and handle confidential information.
  • Strong problem-solving skills and the ability to adapt quickly to changing priorities.

Preferred Skills:

  • Experience with start-up environments or growing businesses.

Additional Information:

  • This position will be based in College Grove, TN.
  • Occasional travel may be required.
  • Flexibility in work hours and the ability to work under pressure.
