Executive Assistant - Sales

We are hiring an Executive Assistant for the Corporate office based in Oakville, ON. This role supports senior leadership with administrative tasks, scheduling, communications, and project coordination. Ideal candidates have strong organizational skills, attention to detail, and the ability to thrive in a fast-paced environment.

Primary responsibilities:

• Data Entry & Reporting: (50%)

1. Input and maintain data into various software systems and spreadsheets.
2. Prepare reports and presentations, particularly in PowerPoint and Excel, for senior management.
3. Ensure data integrity and organization across various platforms (MS Dynamics and SharePoint).

• General Administrative Support: (25%)

1. Provide general administrative support to the leadership team and other departments as needed.
2. Assist with special projects and other tasks that support the business.

• Expense Management: (15%)

1. Track, process, and submit expense reports for executives.
2. Ensure expenses align with company policies and are processed in a timely manner.
3. Maintain and update financial records for transparency and reporting.

• Travel Arrangements: (5%)

1. Coordinate and book travel arrangements (flights, accommodations, car rentals, etc.) for executives.
2. Prepare detailed itineraries and ensure all necessary travel documentation is provided.
3. Handle any travel-related issues or changes, providing quick solutions.

• Office Management: (5%)

1. Maintain the organization of office supplies, equipment, and schedules.
2. Assist in the preparation of meetings and presentations.
3. Handle emails, and other communications with professionalism.

• Qualifications & Experience:

1. 2+ years of experience as an executive assistant, administrative assistant or similar role, ideally within a corporate sales environment.
2. Associate or Bachelors degree.
3. Strong proficiency in Microsoft Office Suite, particularly Excel, PowerPoint and Dynamics.
4. Excellent organizational skills with the ability to manage multiple tasks and priorities.
5. Strong communication skills, both verbal and written.
6. High attention to detail and accuracy.
7. Ability to work independently and as part of a team.
8. Experience with travel bookings, expense management, and office coordination preferred.
9. Discretion and confidentiality are essential.
   

• Working Conditions:

1. Full-time, hybrid position in our Oakville office.
2. Occasional travel may be required to industry events and other employee events.
